The Accounts Payable Specialist is responsible for processing and managing all vendor invoices and payments accurately and on time. This role ensures the integrity of financial documentation, adherence to internal policies, and compliance with accounting standards.


Key Responsibilities

  • Review, code, and process vendor invoices and employee expense reports.
  • Match purchase orders, invoices, and receiving documents to verify accuracy.
  • Prepare and execute weekly, biweekly, and monthly payment runs.
  • Maintain accurate and up-to-date vendor records in the accounting system.
  • Reconcile accounts payable transactions and resolve discrepancies with vendors.
  • Ensure all payments are made in accordance with company policies and within vendor terms.
  • Assist with month-end closing by providing AP-related reports and journal entries.
  • Support audits by providing documentation and account analysis.
  • Monitor accounts to ensure payments are up to date and handle payment inquiries.
  • Identify and implement process improvements for increased efficiency.
  • Other duties as assigned.


Qualifications

  • Education: 2 year degree in Accounting, Finance, or related field (but not preferred).
  • Experience: 3+ years of experience in accounts payable or general accounting.
  • English and Spanish
  • Technical Skills:
    • Proficiency with accounting software (e.g., QuickBooks, GDZ, Workday
    • Excel skills
  • Soft Skills:
    • Excellent attention to detail and organizational skills.
    • Strong communication and problem-solving abilities.
    • Ability to work under tight deadlines and manage multiple priorities.
