We are a well-established property management group headquartered in Miami, Florida, managing over 35 commercial and residential properties across the region. Our team is growing, and we are looking for a motivated and organized Assistant Project Manager to support ongoing projects from our home office in Coral Gables and work on site, as well as, moving around the area.

Position Summary:

The Assistant Project Manager will support the Director of Operations in overseeing various property and facilities-related projects. The ideal candidate will have experience in the property management, construction, or real estate industries, and will be responsible for coordinating vendors, tracking procurement processes, and assisting with permitting and compliance with local municipalities.

Key Responsibilities:

  • Support project planning, execution, and closeout across multiple property sites.
  • Communicate with vendors and contractors to collect bids, proposals, and project updates.
  • Assist in commercial procurement processes by gathering and organizing pricing, contracts, and product information.
  • Coordinate with city and municipal offices to obtain necessary permits, inspections, and approvals.
  • Maintain project documentation and status reports using Excel and Yardi.
  • Track project timelines and update internal stakeholders on progress and roadblocks.
  • Collaborate with property managers, maintenance teams, and leadership on operational needs.
  • Ensure compliance with safety regulations, zoning laws, and property codes.

Qualifications:

  • Associate’s or Bachelor’s degree in Business, Construction Management, Real Estate, or a related field (preferred).
  • 2+ years of experience in property management, construction, real estate, or a similar industry.
  • Familiarity with city permitting processes and working with municipalities.
  • Proficiency in Microsoft Excel; experience with Yardi property management software highly preferred.
  • Excellent organizational and communication skills.
  • Strong attention to detail and ability to handle multiple tasks simultaneously.
  • Bilingual (English/Spanish) is a MUST.
