About the Role

We are seeking a Healthcare Administrative Assistant to support our psychiatric department and front office operations. This role is ideal for someone with strong organizational skills, EHR experience, and a passion for client service. You will primarily manage:

  • Psychiatric appointment scheduling
  • Medical records requests
  • Benefits and eligibility verification
  • Frontline client communication

Youll also support medication management and provide quality assurance documentation support.


Key Responsibilities

Psychiatric Services Coordination

  • Schedule psychiatric evaluations and medication management appointments
  • Follow up with clients and therapists regarding missed or pending appointments
  • Track psych service utilization and maintain up-to-date logs

Medical Records Management

  • Process incoming and outgoing medical records requests
  • Ensure all releases comply with HIPAA and internal privacy protocols
  • Maintain complete, well-organized digital client files

Insurance & Benefits Support

  • Verify insurance benefits and eligibility for services
  • Document all verifications and updates in EHR system

Client Communication & Contact Logs

  • Handle incoming calls and emails in a timely, courteous, and professional manner
  • Log all communication in the EHR to support clinical and administrative follow-up
  • Escalate time-sensitive issues as needed

Documentation Support

  • Ensure all treatment plan signatures are up to date
  • Assist with internal audits and documentation reviews
  • Additional admin tasks as needed

Qualifications

Required:

  • High school diploma or equivalent (Associate's degree preferred)
  • 12 years in healthcare administration or medical office setting
  • Familiarity with HIPAA, EHR platforms (Lauris a plus), and medical terminology
  • Excellent organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Comfort working with diverse populations and sensitive issues

Preferred:

  • Bilingual
  • Familiarity with Medicaid or behavioral health insurance
  • Experience in mental health or social services setting
