About the Role
We are seeking a Healthcare Administrative Assistant to support our psychiatric department and front office operations. This role is ideal for someone with strong organizational skills, EHR experience, and a passion for client service. You will primarily manage:
- Psychiatric appointment scheduling
- Medical records requests
- Benefits and eligibility verification
- Frontline client communication
Youll also support medication management and provide quality assurance documentation support.
Key Responsibilities
Psychiatric Services Coordination
- Schedule psychiatric evaluations and medication management appointments
- Follow up with clients and therapists regarding missed or pending appointments
- Track psych service utilization and maintain up-to-date logs
Medical Records Management
- Process incoming and outgoing medical records requests
- Ensure all releases comply with HIPAA and internal privacy protocols
- Maintain complete, well-organized digital client files
Insurance & Benefits Support
- Verify insurance benefits and eligibility for services
- Document all verifications and updates in EHR system
Client Communication & Contact Logs
- Handle incoming calls and emails in a timely, courteous, and professional manner
- Log all communication in the EHR to support clinical and administrative follow-up
- Escalate time-sensitive issues as needed
Documentation Support
- Ensure all treatment plan signatures are up to date
- Assist with internal audits and documentation reviews
- Additional admin tasks as needed
Qualifications
Required:
- High school diploma or equivalent (Associate's degree preferred)
- 12 years in healthcare administration or medical office setting
- Familiarity with HIPAA, EHR platforms (Lauris a plus), and medical terminology
- Excellent organizational skills and attention to detail
- Strong written and verbal communication skills
- Comfort working with diverse populations and sensitive issues
Preferred:
- Bilingual
- Familiarity with Medicaid or behavioral health insurance
- Experience in mental health or social services setting
