Position Summary

The Webinar Coordinator is responsible for planning, executing, and optimizing all virtual events, webinars, and online presentations. This role supports the marketing, advisor support, and education teams by managing logistics, registration, promotions, and post-event follow-up. The ideal candidate thrives in a fast-paced environment, has strong project management skills, and understands the importance of brand consistency and client experience in a virtual setting.

Key Responsibilities

Webinar Planning & Execution

• Coordinate all aspects of webinars and virtual events, including scheduling, platform setup (Zoom, GoToWebinar, BigMarker, etc.), rehearsals, and live production.

• Develop run-of-show documents and coordinate with presenters, moderators, and tech support.

• Ensure proper branding and messaging is integrated across all webinars.

Promotion & Registration

• Collaborate with the marketing team to design and launch webinar promotional campaigns via email, social media, and landing pages.

• Manage registration platforms, confirmations, and reminders to maximize attendance.

• Monitor RSVP lists and analyze drop-off or attendance trends.

Live Event Management

• Serve as the primary point of contact during live events to ensure technical quality and a seamless attendee experience.

• Troubleshoot tech issues, monitor Q&A/chat, and facilitate audience engagement (polls, surveys, etc.).

Post-Event Follow-Up & Reporting

• Distribute post-event materials such as recordings, slides, and follow-up emails.

• Track and analyze attendance, engagement, and lead conversion data.

• Provide detailed event reports to stakeholders, with recommendations for improvement.

Platform & Vendor Management

• Maintain knowledge of webinar platforms and virtual event tools, recommending upgrades or changes as needed.

• Coordinate with external vendors or tech partners when required.

Requirements:Must-Have Qualifications

Industry Experience

• Experience in financial services, marketing, or education is a plus.

Background and Education:

• 2+ years of experience coordinating virtual events, webinars, or live online training.

• Strong attention to detail across project management, time management, and organizational skills.

• Excellent communication and problem-solving abilities.

Technology Expertise:

• Proficiency with webinar platforms (Zoom, GoToWebinar, BigMarker, Microsoft Teams, etc.).

• Familiarity with CRM and email marketing tools (HubSpot, Salesforce, Mailchimp, etc.).

Preferred Attributes:

• Calm under pressure and solution-oriented during live events.

• Comfortable working cross-functionally with marketing, advisors, compliance, and external partners.

• A passion for creating professional, engaging client experiences.

Physical & Work Environment Requirements

• Ability to work for extended periods at a desk using a computer.

• Ability to lift up to 10 pounds if/when necessary.

• Routine use of telephone and email.

• Office-based role with potential travel to conferences, events, and satellite offices as needed.
