Executive Property / Estate Manager

Ultra-High-Net-Worth Private Family Office

Position Overview

A private family office seeks an accomplished Executive Property / Estate Manager to oversee a portfolio of three extremely high-end residential estates, associated staff residences, and a private island comparable in scope and complexity to Necker Island–style operations. The role supports a single private family and requires exceptional discretion, judgment, and operational sophistication.

Primary home locations currently include:

  • Manalapan, Florida
  • Beverly Hills, California
  • Las Vegas, Nevada

Additional international residences may be added over time.

This is a senior, hands-on executive role responsible for the seamless operation, staffing, and stewardship of world-class properties held to the highest standards.


Scope of Responsibility

Property & Asset Management

  • Full operational oversight of:
    • Three ultra-luxury private residences
    • Associated staff housing
    • A private island estate with resort-level infrastructure, marine operations, and guest accommodations (Necker Island–type environment)
  • Management of preventive maintenance, capital projects, and long-term asset preservation
  • Oversight of construction, renovations, and specialty projects
  • Development, implementation, and enforcement of estate-level SOPs across all properties
  • Coordination of all vendors and service providers (construction, landscaping, marine, utilities, IT, HVAC, security, etc.)

Staff & Vendor Management

  • Recruit, supervise, and evaluate household and estate staff, including:
    • Housekeeping
    • Grounds and maintenance
    • Caretakers
    • Security personnel
    • Marine and island staff
  • Manage staffing schedules, housing, and performance
  • Negotiate and administer vendor contracts and service agreements
  • Serve as the central point of coordination between ownership, staff, and external professionals

Financial Oversight

  • Prepare and manage annual operating budgets for all properties
  • Track expenses, approve invoices, and provide detailed financial reporting to the family office
  • Coordinate with accountants, insurers, and legal advisors
  • Oversee procurement of furnishings, equipment, vehicles, and specialty assets

Owner & Guest Experience

  • Ensure all properties are maintained in an owner-ready condition at all times
  • Coordinate owner and guest arrivals, departures, and special requests
  • Anticipate needs and resolve issues proactively
  • Maintain the highest level of discretion, confidentiality, and professionalism

Security, Risk & Compliance

  • Coordinate physical, operational, and marine security protocols
  • Liaise with private security teams and local authorities as appropriate
  • Oversee emergency preparedness, disaster response, and risk mitigation
  • Ensure compliance with local, state, federal, and international regulations, including environmental and maritime requirements for island operations


Qualifications & Experience

Required

  • 10+ years of experience in luxury estate management, UHNW property management, or comparable senior hospitality leadership
  • Proven experience managing multiple high-value residences simultaneously
  • Strong leadership experience overseeing household and estate staff
  • Advanced organizational, budgeting, and reporting skills
  • Absolute discretion, integrity, and sound judgment
  • Willingness and ability to travel and spend extended time on-site as needed
  • Comfortable operating independently within a family office environment

Preferred / Plus

  • Certified Property Manager (CPM®) designation or equivalent professional certification (strong plus)
  • Experience managing private islands, resort-style estates, or marine operations
  • Background in luxury hospitality, yachting, or resort management
  • Experience working with family offices or private principals
  • International property management experience across multiple jurisdictions
  • Familiarity with high-level security coordination and privacy-sensitive households
