Oceanside Staffing is assisting an ultra-high-net-worth family in identifying a refined, highly organized Photography/Videography & Art Coordinator. This is a unique hybrid role blending creative media production, fine art collection support, project management, and digital asset organization, including music library oversight.


The ideal candidate is just as comfortable behind a camera as they are in an editing suite or database—someone who can capture stunning visual content, thoughtfully mock up art placements, and maintain meticulous inventories of fine art, digital assets, and music libraries across several international residences. A genuine appreciation for art, aesthetics, and discretion is essential.


This role requires extensive travel — approximately 50% of the year, often for 1–2 week durations at a time — so candidates must be comfortable being frequently on the road and working across properties internationally.

Key ResponsibilitiesCreative Media & Content

  • Capture high-quality photography and videography of properties, events, and art as requested by the principal.

  • Edit photos and videos with a strong artistic eye, ensuring a cohesive visual style aligned with the family aesthetic.

  • Create polished visual outputs including lookbooks, digital archives, decks, presentations, and framed layouts.

  • Support media preparation for internal and external use (estate documentation, creative projects, family archives).

Art Collection Support

  • Work closely with supervisor to visualize, plan, and execute art placement across multiple residences.

  • Use Photoshop or similar tools to create wall mockups for rehangs, acquisitions, and rotations.

  • Coordinate framers, art handlers, galleries, conservators, appraisers, insurance providers, and other vendors.

  • Assist with condition reports, provenance records, insurance updates, and digital documentation.

  • Maintain a detailed inventory of all artworks, including photographs, descriptions, paperwork, and storage locations.

Digital Asset & Music Library Management

  • Build, tag, and maintain a structured digital archive of photo & video assets using best-practice naming systems.

  • Organize, maintain, and update music libraries and playlists used across multiple homes, events, and environments.

  • Ensure all digital content is searchable, properly backed up, secure, and easily retrievable.

  • Implement and uphold systems/workflows that support continuity for the family and trusted advisors.

Project Management, Vendor Coordination & Administrative Support

  • Assist the supervisor in managing projects end-to-end: installations, framing, media shoots, cataloguing work, etc.

  • Coordinate with 3rd-party photographers, art companies, vendors, and service partners.

  • Prepare simple reports, visual summaries, and progress updates for the principal and team.

  • Track deadlines, logistics, shipments, tasks, and follow-ups to keep all moving parts synchronized.

Travel & Flexibility

  • Travel 2 weeks per month across the family’s residences (UK, Dominican Republic, Palm Beach, Lake Geneva, and others).

  • Maintain schedule flexibility to support travel days, time zone differences, and priority projects.

QualificationsExperience & Technical Skills

  • 4+ years experience in one or more areas:

    • Photography/videography + advanced editing and retouching

    • Art collection management, gallery/museum work, or art handling

    • Digital asset management (photo/video archives or music libraries)

  • Proficiency in Adobe Creative Cloud—Photoshop required; Lightroom, Premiere, or similar strongly preferred.

  • Comfortable working in databases/spreadsheets, tagging systems, and inventory tools.

  • Prior experience in UHNW private service, family office environments, or high-profile settings is strongly preferred.

  • Working knowledge of appraisals, conservation, storage, or art insurance is a plus.

Compensation & Benefits

  • Salary range: $100,000–$135,000+, commensurate with experience and fit.
