Job Summary:
The Executive Assistant provides high-level administrative, project management, and board support to Pace Center for Girls’ Executive Leadership Team (ELT). This role ensures leaders are equipped to focus on strategic priorities by managing schedules, communications, and critical projects with accuracy and discretion. The Executive Assistant is a trusted partner to the ELT, serving as a central point of coordination for board engagement, organizational initiatives, and cross-functional priorities.
Reporting directly to the Chief Executive Officer, this position requires excellent judgment, strong organizational skills, and the ability to balance multiple priorities in a fast-paced environment. The Executive Assistant represents Pace with professionalism and care, modeling our values of Caring, Learning, Purpose, and Results.

What This Role Does:
Executive Support – Optimize Leadership Capacity
- Manage complex calendars, travel, and meeting logistics for the Executive Leadership Team.
- Draft, edit, and prepare correspondence, presentations, and reports with clarity and accuracy.
- Anticipate needs of the ELT to ensure timely follow-up and seamless execution of responsibilities.
- Serve as a liaison between the ELT and internal and external stakeholders, ensuring responsive and professional communication.
Board Management – Coordinate Governance and Engagement
- Partner with the CEO to support Pace’s Board of Trustees.
- Plan and execute board and committee meetings, including scheduling, preparing materials, drafting agendas, and recording minutes.
- Track and support follow-up on board action items, ensuring timely completion.
- Maintain board records, contact lists, and governance documents with accuracy and confidentiality.
Project Management – Advance Organizational Priorities
- Lead and support cross-functional projects on behalf of the ELT, ensuring deadlines and deliverables are met.
- Monitor progress on organizational initiatives and provide updates to senior leaders.
- Research, synthesize, and prepare background materials to inform executive and board decision-making.
- Identify opportunities to streamline processes, improve systems, and strengthen alignment across teams.

What We Require for the Job:
- Bachelor’s degree or equivalent experience preferred.
- Significant experience (5+ years) as an Executive Assistant supporting senior executives, with direct experience supporting a Board of Directors or Trustees.
- Strong project management skills, with the ability to prioritize, plan, and execute multiple initiatives.
- Exceptional writing, editing, and communication skills.
- High level of discretion, professionalism, and emotional intelligence.
- Advanced proficiency with Microsoft Office Suite, Teams, Zoom, and other productivity platforms.
