This role is a direct hire with a growing security company. CoreHR Services is supporting recruitment as part of our HR services. The Project Accounting Specialist will support the daily and monthly financial operations of the company, including billing, accounts payable, accounts receivable, payroll, reconciliations, and financial reporting. This role requires strong analytical ability, excellent organizational skills, and the capacity to work both independently and collaboratively in a fast-paced environment.

Key Responsibilities

  • Prepare and submit AIA billing forms (G702 & G703) — experience is required.
  • Organize receipts for multiple projects and bill customers accurately using AIA forms and the accounting system.
  • Prepare and analyze monthly financial statements and supporting reports.
  • Create and post journal entries in accordance with GAAP.
  • Prepare schedules to support balance sheet accounts for auditors.
  • Document and record financial transactions by entering account information.
  • Recommend financial actions based on analysis of accounting options.
  • Substantiate financial transactions by auditing and reviewing documentation.
  • Identify and reconcile financial discrepancies and resolve issues promptly.
  • Manage full-cycle Accounts Payable (AP) and full-cycle Accounts Receivable (AR) processes.
  • Process payroll and perform bank account reconciliations.
  • Assist with month-end and year-end close.
  • Maintain organized and accurate financial records.
  • Participate in process improvements to enhance efficiency and accuracy.
  • Occasional job site visits may be required.

Qualifications

  • Experience preparing AIA forms (G702 & G703) is mandatory.
  • Associate or Bachelor’s degree in Accounting, Finance, or a related field preferred.
  • 2–4 years of accounting experience, ideally in construction or project-based environments.
  • Strong knowledge of GAAP principles.
  • Proficiency with accounting software (QuickBooks, Sage, Viewpoint, or similar).
  • Intermediate to advanced Excel skills (pivot tables, VLOOKUP, etc.) preferred.
  • Strong analytical, problem-solving, and troubleshooting abilities.
  • Ability to work under tight deadlines with a positive and professional attitude.
  • Highly organized, detail-oriented, and able to multitask effectively.
  • Ability to work independently with minimal supervision and collaboratively with a team.
  • Valid driver’s license for occasional site visits.
