Robert Half is looking for a detail-oriented and proactive professional to support the COO and VP of Marketing at a leading hospitality company. This role combines executive assistance, office management, HR support, and project coordination in a fast-paced environment. Spanish fluency is required.
Key Responsibilities:
- Provide administrative support to senior executives, including managing calendars, arranging travel, processing expenses, coordinating meetings, and preparing reports and presentations.
- Assist the COO with hotel operations and asset management to ensure smooth daily business activities.
- Collaborate with the VP of Marketing on project tracking, vendor communications, marketing materials, campaign coordination, and presentations.
- Prepare communications for investors, board members, and strategic partners.
- Serve as the liaison between executives, hotel teams, brand partners, and third-party agencies to ensure clear and efficient communication.
- Manage day-to-day office operations, including reception, mail, supplies, and vendor coordination.
- Coordinate IT requests, maintain system access, and support firm-wide tools like Microsoft 365
- Support HR processes including recruitment, onboarding/offboarding, and benefits administration.
- Assist with special projects, vendor contracts, budgets, and reporting.
- Travel periodically to hotel properties to support operations, brand initiatives, photoshoots, and events
- Strong experience providing executive support, office administration, or project coordination.
- Fluent in Spanish and English, with excellent written and verbal communication skills.
- Highly organized, detail-oriented, and able to manage multiple priorities independently.
- Proficiency in Microsoft Office Suite and office management systems.
- Experience in hospitality, marketing, or real estate environments is a plus.
