Position Summary
The Church Administrator provides administrative, operational, and organizational support to ensure the smooth day-to-day functioning of the church. This role partners closely with pastoral leadership, ministry leaders, and volunteers to support the church’s mission, vision, and ministries with excellence, integrity, and professionalism.
The ideal candidate is organized, dependable, detail-oriented, spiritually grounded, and able to manage multiple responsibilities while maintaining confidentiality and a servant-hearted approach.
Key Responsibilities
Administrative & Office Management

Manage daily church administrative operations and office workflow

Maintain accurate church records, files, and databases

Order and manage office supplies and administrative resources

Answer emails, phone calls, and general inquiries in a professional manner
Scheduling & Coordination

Coordinate church calendars, meetings, and ministry schedules

Assist with planning and execution of church services, programs, and special events

Schedule facility use and manage space requests
Communication & Documentation

Prepare and distribute church communications such as bulletins, announcements, newsletters, and emails

Assist with updating church documents, forms, and reports

Support communication between leadership, staff, volunteers, and congregation
Finance & Operations Support

Work alongside the finance team to assist with basic bookkeeping tasks (e.g., tracking donations, processing invoices, payroll support as applicable)

Maintain organized financial and administrative records

Ensure responsible use of church resources
Facilities & Support

Coordinate basic facility needs and maintenance requests

Ensure church spaces are prepared for services, meetings, and events

Support safety, security, and facility-use policies
People & Ministry Support

Support pastors, ministry leaders, and volunteers with administrative needs

Assist with onboarding and coordination of volunteers or staff as needed

Build positive relationships with members and the wider community
Qualifications & Skills

Strong organizational and time-management skills

Excellent written and verbal communication

Proficiency with computers and office software (email, documents, spreadsheets, basic databases)

Ability to maintain confidentiality and handle sensitive information

Problem-solving mindset with attention to detail
