About Us:

We are looking for a Construction Office Manager who will support all areas of the business — from permits to project paperwork — and help bring order and structure to our day-to-day operations. This person will be key to keeping the office organized, ensuring nothing falls through the cracks.
Key Responsibilities:

Manage the permitting process: prepare applications, submit to cities/counties, follow up, and coordinate inspections

Maintain digital and paper filing systems for contracts, job folders, insurance docs, and general project records

Provide administrative support to the project management, sales, and accounting teams

Monitor deadlines and help coordinate schedules for inspections and submissions

Track and organize vendor and subcontractor paperwork (licenses, W-9s, COIs, etc.)

Help maintain order in job documentation: proposals, change orders, invoices, etc.

Keep the office running smoothly and support day-to-day logistics

Provide weekly status updates on permits and admin workflow
Qualifications:

2+ years of office management or administrative experience, ideally in construction or trades

Familiarity with permitting processes in Southwest Florida (Lee and Collier Counties a plus)

Highly organized and reliable with strong attention to detail

Comfortable managing multiple priorities and tasks at once

Proficient in Microsoft Office (especially Excel, Word, Outlook)

Excellent communication and time-management skills

Bilingual (English/Spanish) a must.
