DIRECTOR OF FINANCE AND HUMAN RESOURCES

Position Description

Summary: The Director of Finance and Human Resources is responsible for the management and reporting of all financial transactions for Zion Lutheran Church, the Early Child Center (ECC) and Zion Lutheran School (ZLS) to ensure compliance with GAAP financial reporting guidelines. In addition, this position is responsible for working in conjunction with the Human Resources Ministry to handle all personnel related functions for Zion Lutheran Church Employees.

Qualifications:

• BS in Accounting or Business Administration – CPA preferred

• Minimum 10 years’ experience in Not-For-Profit and/or Education Financial, Operational and Human Resources Management.

• Supervisory experience working with Board Committees and Volunteers

• Knowledge of general IT troubleshooting helpful

• Experience working with non-profit/church-based accounting programs helpful.

Essential Duties and Key Responsibilities

Include but are not limited to:

FINANCE

Finance Ministry:

• Participate in monthly Finance Ministry meetings; present monthly financial reports and answer any questions related to the reports.

• Maintain a depreciation schedule for Church/ECC/ZLS assets; update to include new acquisitions.

• Meet with the Zion Treasurer weekly to discuss/advise of any accounting issues.

Process Payroll:

• Provide required documentation to the Paychex Company for biweekly payroll

• Maintain employee records in Paychex system

• Perform data input for payroll

• Distribute any paper payroll checks

• Post bi-weekly payroll to accounting system

• Reconcile any payroll issues

Process contributions and receipts:

• Post weekly contributions entered by volunteers into Shepherd Staff

• Supervise volunteer counters

• Prepare and mail semi-annual and year end annual contribution statements

• Record and acknowledge Memorial gifts

• Acknowledge gifts by non-members and special gifts

• Answer contribution-related inquiries from all donors

Process invoices and expenses:

• Monitor expense vouchers for approval

• Establish a schedule for writing and distributing checks remaining flexible to meet unexpected needs.

• In a timely manner process approved expense vouchers for purchases, reimbursements, and payments.

• Reconcile and post monthly credit card statements

• Monitor funds to ensure adequate funds are available for payments. Advise the Treasurer when operating funds deviate from acceptable balances.

Financial record keeping and reporting:

• Prepare monthly bank account reconciliations – numerous accounts

• Prepare monthly and annual financial statements

• Prepare budget worksheets and update budget records

• Maintain annual pledge worksheet and report

Vendor relations:

• Establish good working relationships with vendors

• Resolve vendor-related issues in a diplomatic manner

Maintain and/or implement new internal control procedures:

• Notify the Treasurer of any deficiencies identified in internal control procedures

Annual Budget Process:

• Establish timely process for developing annual operating budgets.

• Assist Ministry Chairs with budget preparation and any unusual expenditures relative to their budget.

HUMAN RESOURCES

Human Resources Ministry:

• Participate in monthly Human Resource Ministry meetings; present reports as requested.

• Work with HR Ministry to update and maintain Zion Lutheran Church Employee Handbook.

Employee-related matters:

• Update and distribute Staff Contact list as needed

• Update and distribute Zion Lutheran Church organization chart

• Prepare and update personnel files as needed

• Assist department heads and HR Ministry in developing position descriptions for paid and volunteer staff positions

• In conjunction with HR Ministry, draft offer letters for new employees

• Working with department heads and HR Ministry to plan/execute annual performance evaluation program

• Support HR Ministry in developing and implementing employee benefit plans and addressing any problem areas

• Work with appropriate parties to apply for; modify; discontinue employee benefits, e.g. retirement, etc. as appropriate.

• Work with HR Ministry on matters related to terminations, FMLA, etc.
