Job DescriptionReferral Coordinator – Primary Care

Position Summary
The Referral Coordinator is responsible for managing and coordinating patient referrals to specialty care, diagnostic services, and ancillary providers. This role ensures timely, accurate referral processing while maintaining compliance with insurance requirements and supporting continuity of patient care within a primary care practice.

Key Responsibilities

  • Process and manage referrals to specialists, imaging centers, and ancillary service providers

  • Obtain prior authorizations and verify insurance coverage as required

  • Communicate referral details to patients, including appointment instructions and follow-up expectations

  • Coordinate with providers, specialists’ offices, and insurance companies to ensure timely care

  • Track referral status and follow up on pending or incomplete referrals

  • Maintain accurate and complete referral documentation within the electronic health record (EHR)

  • Ensure compliance with payer requirements, HIPAA, and applicable regulations

  • Address patient questions related to referrals and insurance approvals in a professional manner

Qualifications

  • High school diploma or equivalent required; additional education in healthcare administration preferred

  • Minimum of 1–3 years of experience in a medical office setting, preferably primary care

  • Prior experience with referrals, authorizations, or insurance verification preferred

  • Knowledge of medical terminology and referral workflows

  • Familiarity with electronic health record (EHR) systems
