The Administrative Assistant is responsible for supporting day-to-day organizational operations and facilitating efficient communication across the Development & Construction team. This role serves as a key point of contact with consultants and collaborates closely with other SROA departments.

Duties and Responsibilities

  • Coordinate and schedule staff meetings and appointments and maintain the department’s office calendar.
  • Maintain organized and up-to-date office databases and filing systems, including reports, construction documents, surveys, and project photos.
  • Coordinate with the team to request proposals and follow up with consultants to ensure timely delivery of proposals and requested work products.
  • Track and maintain records of project invoices and expenses and communicate with the accounting department to support timely processing of payments.
  • Follow up on department and project-specific tasks to support deadlines and workflow efficiency.
  • Assist with project procurement activities as needed.
  • Track permitting forms and follow up to ensure proper execution and timely submission.
  • Sort, distribute, and manage incoming and outgoing mail.
  • Additional projects as assigned that advance the department’s strategic goals.

Qualifications

  • Previous administrative experience required
  • Minimum of two years of experience in real estate development or construction
  • Experience working with budgets and creating spreadsheets preferred
  • Excellent organizational and time-management skills
  • Strong written and verbal communication abilities
  • Proficiency with standard office software, equipment, and technology
  • Ability to prepare clear reports and presentations
  • Strong interpersonal skills with the ability to work effectively across multiple departments
