Position Overview
The Fleet Manager is responsible for the ordering, management, maintenance, compliance, and disposal of all vehicles, equipment, and related assets supporting the company's pavement maintenance operations. This role oversees the full lifecycle of fleet and equipment assets, including trucks, trailers, heavy equipment, and specialized machinery. The Fleet Manager ensures all asset records are accurate and current, and that equipment is safe, reliable, compliant, cost-effective, and available to meet daily production schedules. This position plays a critical role in operational efficiency, regulatory compliance, risk mitigation, and cost control across a multi-location organization.
Key Responsibilities
- Manage all day-to-day fleet program needs, including ongoing program administration for both drivers and assets.
- Oversee the daily management of the company's vehicle and equipment fleet, including heavy trucks, service vehicles, trailers, and paving equipment.
- Develop, refine, and enforce preventive maintenance schedules to minimize downtime and extend asset life.
- Review and coordinate repairs with in-house mechanics and external vendors to ensure timely and cost-effective service.
- Maintain accurate and complete records for titles, registrations, licensing, inspections, warranties, maintenance history, and asset assignments.
- Monitor fuel usage, idling, maintenance spend, and operating costs, driving reductions in cost per million miles.
- Ensure compliance with DOT, FMCSA, OSHA, EPA, IFTA, IRP, CARB, CDPHE, HOS, CDL, and other applicable regulations.
- Oversee driver LMS programs, HOS requirements, and third-party CDL vendors.
- Manage GPS, telematics, and dash camera systems, including monitoring driver behavior and safety metrics.
- Review, code, and approve invoices from the Fleet Management Company (FMC) and third-party vendors.
- Coordinate accident repairs with the in-house claims manager and file insurance or FMC claims as necessary.
- Maintain strong working relationships with the FMC and service partners.
- Track and report equipment utilization, performance metrics, and replacement needs.
- Generate fleet performance reports and present recommendations to management.
- Maintain CARB and CDPHE compliance and documentation.
- Organize and manage toll transponders and toll programs.
- Ensure timely processing of 2290 filings, UCRs, MS-150s, property taxes, and related filings.
- Complete UCC-3 lien releases for disposed assets.
Qualifications
- Bachelor's degree in business administration, logistics, supply chain, or related field (preferred).
- 5+ years of progressive fleet management or equipment operations experience in construction, paving, or heavy civil industries.
- Experience managing multi-location fleets and geographically dispersed operations.
- Experience working with Holman Automotive or a comparable Fleet Management Company preferred.
- Experience with mergers and acquisitions and consolidating acquired fleets.
- Strong analytical and data-driven decision-making skills with advanced Excel proficiency.
- Highly detail-oriented, organized, and able to manage competing priorities.
- Proficiency with fleet management systems, telematics platforms, and fuel card programs (WEX preferred).
- Hands-on understanding of heavy trucks, trailers, and pavement maintenance equipment.
- Experience with vehicle upfitting, right-sizing, and standardization programs.
- Experience with UCC-3 lien releases and private equity lenders a plus.
- In-depth knowledge of DOT, FMCSA, CDL, IFTA, IRP, CARB, and CDPHE compliance requirements.
- Strong mechanical aptitude and ability to assess equipment issues.
- Excellent budgeting, documentation, and record-keeping skills.
- Strong leadership, communication, and organizational abilities.
- Ability to perform effectively in a fast-paced, operational environment.
