We are seeking a dedicated Office Manager to join our small, dynamic team and help keep our operations running smoothly while delivering exceptional customer service.

Job Summary

We are looking for an organized, proactive Office Manager to manage our small office in Inverness, Florida. The ideal candidate will oversee daily office operations, handle scheduling for our landscaping projects, and serve as the primary point of contact for our valued clients. This role requires excellent phone skills, a customer-focused attitude, and a willingness to go above and beyond to ensure our business thrives.

Key Responsibilities

Office Management: Oversee daily operations of our small office, including managing supplies, maintaining a clean and organized workspace, and coordinating with vendors as needed.
Scheduling: Coordinate and schedule landscaping projects, ensuring efficient allocation of crews, equipment, and materials. Communicate schedules clearly to team members and clients.
Customer Service: Act as the first point of contact for clients via phone, email, and in-person inquiries. Address questions, provide project updates, and resolve concerns with professionalism and care.
Administrative Tasks: Maintain accurate records, process invoices, and assist with basic bookkeeping tasks. Prepare and distribute project estimates and contracts.
Team Support: Collaborate with field crews and management to ensure seamless communication between the office and job sites.
Problem-Solving: Handle unexpected challenges, such as rescheduling due to weather or addressing client requests, with initiative and a positive attitude.

Qualifications

Proven experience in office management, customer service, or administrative roles (experience in construction or landscaping industries is a plus).
Exceptional phone skills with a friendly, professional demeanor.
Strong organizational skills and attention to detail.
Ability to multitask and prioritize in a fast-paced environment.
Proficiency in Microsoft Office (Word, Excel, Outlook) and scheduling software (experience with QuickBooks or similar is a plus).
A proactive, “go above and beyond” attitude with a passion for delivering outstanding service.
High school diploma or equivalent; additional education or certifications in office administration are a plus.
Valid driver’s license and reliable transportation.
