The Office Manager's responsibility is to provide clerical and administrative support to the operations and finance departments.
Essential Duties and Responsibilities:
- Answer incoming calls and emails during business hours.
- Provide client service via phone and email as needed.
- Schedule upcoming jobs for various departments.
- Prepare paperwork for upcoming jobs.
- Assist with coordinating travel for overnight jobs.
- Assist with employee scheduling as needed.
- Collect and remit job paperwork to finance department for billing.
- Maintain inventory of supplies and uniforms.
- Direct office activities to maintain efficiency and compliance with company policies.
- Screen resumes for new hires and complete new hire paperwork.
- Maintain a clean and tidy workspace.
- Other duties as assigned.
- All areas of customer service.
Requirements:
- High school diploma or equivalent.
- Administration experience required.
- Scheduling experience preferred.
- Ability to prioritize tasks and function well in a fast-paced environment.
- Proficient with Microsoft Office Suite.
- Excellent organizational and time management skills.
- Proven ability to meet deadlines.
- Strong oral and written communication skills.
- Highly self-motivated.
- Strong work ethic.
- Must be proficient in English.
- Prior experience with HubSpot or similar CRM software preferred.
Working Conditions:
Will be required to work in an office located inside a warehouse. Schedule is Monday through Friday from 8:00 am to 4:00 pm.
Physical Requirements:
Standing, kneeling, crouching, walking, and lifting of objects up to 20 pounds. Prolonged periods sitting at a desk and working at a computer.
