Village Montessori Preschool – Killian Campus
Village Montessori Preschool is seeking a grounded, highly organized, and trustworthy Administrative & Personal Assistant to support our Head of School in guiding the daily life of our Montessori community. This role is for someone who values purposeful work, approaches each day with calm presence, and understands that supporting a school is, at its core, supporting children and the adults who care for them.
About the Role
The Administrative & Personal Assistant serves as an extension of the Head of School, helping to maintain the rhythm of the campus, fostering clear communication, and ensuring the environment is prepared for children, staff, and families. This position requires a thoughtful balance of initiative and discretion and plays a key role in keeping the school day running smoothly.
Key Responsibilities
Administration & School Operations

Manage calendars, scheduling, emails, calls, and correspondence with clarity and professionalism.

Organize documents, digital files, projects, and operational timelines to ensure the Head of School’s priorities move forward smoothly.

Prepare materials, reports, communication pieces, and presentations with accuracy and attention to detail.

Support admissions, enrollment tasks, and school-wide communications as needed.

Ensure the office environment remains orderly, welcoming, and aligned with Montessori values.
Community Support & Communication

Serve as a warm, reliable point of contact for staff, families, and external partners.

Draft clear, thoughtful messages and updates that reflect the school’s tone, values, and mission.

Help coordinate campus events, parent gatherings, and special moments that strengthen our sense of community.

Maintain strict confidentiality, particularly regarding sensitive school and family matters.
Personal & Professional Support for the Head of School

Anticipate needs and prepare ahead. Always staying one step ahead with care and discretion.

Assist with personal tasks that allow the Head of School to remain fully present and effective in her leadership.

Manage logistics for meetings, errands, and daily responsibilities in a proactive and organized manner.
