We are a leading generator sales, installation, and service company serving residential and commercial clients across South Florida. With approximately 500 new customers annually through our sales division and over 2,000 recurring service customers (growing year-over-year), we specialize in providing reliable power solutions, including generator installations, maintenance contracts, and emergency repairs. Our dynamic environment requires precise financial management to support rapid growth, ensure compliance, and drive operational efficiency. We are seeking an experienced Full Charge Bookkeeper to handle all aspects of our accounting operations.

Position Summary

The Full Charge Bookkeeper will be responsible for managing the complete accounting cycle for our company, including maintaining the general ledger, processing accounts receivable (AR) and accounts payable (AP), preparing financial statements such as profit and loss (P&L), balance sheets, and cash flow reports, and ensuring accurate financial reporting. This role is critical for tracking revenue from new sales (approximately 500 customers per year) and recurring service contracts (over 2,000 customers, with annual growth), while supporting inventory management for generator parts and equipment. The ideal candidate is a detail-oriented professional with strong expertise in QuickBooks Online and a proven track record in full-cycle accounting for service-based businesses.

Key Responsibilities

• Full-Cycle Accounting: Oversee the entire accounting process, including journal entries, reconciliations, and month-end/year-end closings. Maintain a comprehensive general ledger to track all financial transactions accurately.

• Accounts Receivable (AR): Manage invoicing for new sales (e.g., generator installations) and recurring service contracts. Handle customer billing, collections, and aging reports to ensure timely payments from 500+ new customers and 2,000+ recurring clients annually.

• Accounts Payable (AP): Process vendor invoices, payments, and reconciliations for supplies, parts, subcontractor services, and operational expenses. Monitor cash flow to support ongoing installations and service calls.

• Financial Reporting: Prepare and analyze standard reports, including P&L statements, balance sheets, cash flow statements, budget vs. actuals, and other ad-hoc reports as needed by management. Provide insights into revenue trends from sales growth and service expansions.

• Payroll and Compliance: Process payroll for field technicians, sales staff, and administrative team. Ensure compliance with tax filings, sales tax remittances, 1099 reporting, and other regulatory requirements.

• Inventory and Job Costing: Track inventory for generator parts and equipment using QuickBooks Online features. Implement job costing for installation projects to allocate expenses accurately.

• Budgeting and Forecasting: Assist in developing annual budgets and forecasts, incorporating growth in recurring service customers (projected annual increases).

• Software Proficiency: Utilize QuickBooks Online exclusively for all accounting functions, including integrations with CRM or service management tools if applicable. Troubleshoot and optimize system setups for efficiency.

• Audit and Internal Controls: Prepare documentation for audits, implement internal controls to prevent errors or fraud, and recommend process improvements to handle scaling customer volumes.

• Collaboration: Work closely with sales, operations, and management teams to provide financial data for decision-making, such as pricing strategies for new installations or service contracts.

Qualifications

• Experience: Minimum of 5 years in full-charge bookkeeping or accounting roles, preferably in a service, construction, or sales-oriented industry (e.g., HVAC, electrical, or equipment services). Experience managing finances for companies with high-volume customer transactions (500+ new sales and 2,000+ recurring) is highly preferred.

• Technical Skills: Advanced proficiency in QuickBooks Online is required, including custom reporting, bank feeds, multi-user setups, and integrations. Familiarity with Microsoft Excel for data analysis and other accounting software is a plus.

• Education: Associate’s or Bachelor’s degree in Accounting, Finance, or a related field preferred. Certifications such as Certified Bookkeeper (CBO)or QuickBooks Online ProAdvisor are advantageous.

• Soft Skills: Strong attention to detail, organizational abilities, and problem-solving skills. Ability to work independently in a fast-paced environment while meeting deadlines. Excellent communication skills for interacting with non-financial team members.

• Other Requirements: Must be authorized to work in the U.S. Proficiency in English and Spanish is required.
