Operations Coordinator - Private Aviation

About the Role
A leading private aviation company is seeking a highly organized and communicative Operations Coordinator with private aviation experience to join a small, agile team. This role is integral to the round-the-clock operations of a high-touch, service-driven business. It requires flexibility, exceptional attention to detail, and the ability to stay calm under pressure.
As one of two primary operations team members, you will serve as a central point of coordination for private flight logistics. This includes managing time-sensitive communication with clients, crew, vendors, and internal stakeholders. While you won’t be working 24/7, you must be reachable and responsive across nights, weekends, and irregular hours to ensure seamless execution of all flight-related operations.
Key Responsibilities
- Manage and coordinate private flight scheduling, including manifest preparation, client preferences, catering, ground transportation, and crew logistics
- Act as a point of contact for clients, crew, and vendors before, during, and after flights to ensure a smooth, white-glove experience
- Maintain accurate and up-to-date records of all flight and passenger information
- Respond to time-sensitive communications and operational needs quickly and effectively, including outside of traditional business hours
- Collaborate with internal team members and external partners to address any in-flight or ground-based issues in real time
- Anticipate operational risks and work proactively to avoid delays or service issues
- Provide concierge-level service and solutions, adapting quickly to last-minute changes or high-profile client requests
Requirements
- Private aviation experience is required, ideally in operations, dispatch, client services, or flight coordination
- Strong understanding of FAA and industry-specific compliance requirements is a plus
- Highly responsive and flexible, able to support operations on nights, weekends, and holidays as needed
- Excellent written and verbal communication skills
- Extremely detail-oriented with superior organizational skills and follow-through
- Comfortable managing multiple workflows and making decisions in a high-pressure, fast-moving environment
- Tech-savvy with experience using flight operations systems or scheduling platforms
- Based in or near Boca Raton, FL preferred, but remote candidates with strong experience will be considered
Compensation: Up to $75,000 depending on experience
