Position Overview:
We are seeking a detail-oriented and proactive Administrative Assistant to join our team. In this dynamic role, you will assist with daily administrative tasks in both the health and life insurance office and our accounting team. During tax season, you will play a key role in supporting the tax return services we provide.

Key Responsibilities:

  • Provide general administrative support, including answering phone calls, responding to emails, and handling client inquiries.
  • Schedule and coordinate appointments for insurance clients and tax preparation services.
  • Assist with the preparation and processing of insurance documents and policy updates.
  • Maintain accurate and organized records for both insurance and tax services through our CRM System (TaxDome) ensuring all client interactions, tasks, and documents are accurately managed.
  • Help manage the tax filing process during tax season by organizing client documents, assisting in data entry for tax returns, and ensuring timely communication with clients.
  • Process incoming and outgoing mail, including payments, policy updates, and tax documents.
  • Manage Contracts and Service Agreement using Adobe Signature.
  • Assist with general office tasks, including filing, data entry, and ensuring office supplies are stocked.
  • Ensure the office is maintained in a clean and organized state, including tasks such as taking out trash, maintaining trash can liners, vacuuming carpets, and ensuring all office supplies are stocked.
  • Support the insurance and accounting teams with any additional administrative duties as needed.

Qualifications:

  • High school diploma or equivalent; further qualifications in office administration or accounting are a plus.
  • Previous experience in an administrative role within insurance or accounting is highly desirable.
  • Strong organizational skills and attention to detail, with the ability to manage time effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with accounting or tax software is a plus.
  • Ability to manage multiple priorities and maintain a high level of accuracy.
  • Experience with Business Formation and payroll process is a plus
  • Excellent communication and interpersonal skills.
  • Bilingual (English/Spanish) is required.

Previous accounting experience is a plus, but not required. We welcome candidates who are eager to learn, motivated, and committed to building a career in accounting.

Strong computer skills are required, including the ability to efficiently work with multiple software platforms at the same time
