Position Title: HR Administrative Assistant
Schedule: Monday–Friday, 8:30 AM – 5:00 PM (First Shift)
Pay: $21–$22/hour (based on experience); $23+/hour for bilingual Spanish-speaking candidates

Position Overview:

We are looking for a highly organized and detail-driven Administrative Assistant to support our Human Resources department. This role is essential in helping coordinate daily HR operations, particularly around production and safety support. The successful candidate will assist with recruiting, new hire onboarding, maintaining employee records, and handling a variety of administrative responsibilities. This role also contributes to building a structured, engaged, and efficient work environment.

Key Responsibilities:

HR and Recruiting Support

  • Help with job postings, screen resumes, and set up interviews for the recruiter.

  • Assist with onboarding new hires, including orientation, training coordination, and cultural integration.

  • Maintain accurate and up-to-date employee information in the HR system.

  • Prepare HR-related documents such as offer letters, disciplinary actions, and benefits enrollment forms, ensuring they meet compliance and internal guidelines.

Administrative Support

  • Perform general office tasks such as filing, scanning, and maintaining digital and physical records.

  • Enter production-related data into complex Excel spreadsheets.

  • Track safety-related data, including employee safety training and incident reports (e.g., worker’s compensation claims).

  • Support other admin tasks related to production and workplace safety, as assigned.

Employee Relations and Engagement

  • Help coordinate team-building activities, recognition programs, and workshops to improve employee morale and engagement.

  • Be a point of contact for employees with questions about company policies, benefits, and payroll.

  • Support a positive workplace by helping address minor concerns and gathering feedback from staff.

Qualifications:

Education & Experience

  • Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred.

  • Prior administrative or HR experience strongly preferred.

  • Strong organizational and time-management skills with great attention to detail.

  • Excellent verbal and written communication skills are essential.

  • Skilled in Microsoft Office (especially Excel) and HR software or systems (e.g., HRIS).

  • Must be able to manage confidential information with professionalism and discretion.

  • Self-starter with the ability to manage multiple tasks and deadlines.

  • Eager to grow and develop professionally.

  • Bilingual in Spanish and English is a plus and eligible for a higher starting pay.

Work Environment & Physical Requirements

  • Standard office setting with regular hours (Monday through Friday).

  • May require occasional flexibility during peak periods or special projects.

  • Must be able to sit at a desk for long periods.

  • Occasional walking, standing, or lifting light office materials (up to 20 lbs).

  • Frequent computer use requiring fine motor skills and visual focus.

  • Must be able to communicate clearly both verbally and in writing.
