This is not your average coordinator role. You’ll be the driving force behind our sales operation, partnering closely with our CEO and Head of Sales to ensure the engine runs flawlessly. While you’re not a salesperson, you’ll be in the middle of it all — leading process, managing follow-ups, and keeping timelines sharp.
You’re the kind of person who’s known for getting things done, keeping people accountable, and staying ten steps ahead. If you’ve ever worked as a paralegal, project coordinator, or executive assistant in a high-stakes environment — this might be your perfect next move.
Key Responsibilities
Sales Process & Contract Management

Own all sales-related admin: contracts, documentation, digital folder structure, and filing.

Track and enforce key deadlines — getting renderings, feedback, signatures, and deposits in on time.

Ensure contracts are accurate, complete, and reflect company standards before being passed on.
Scheduling & Sales Calendar Control

Coordinate site surveys, discovery calls, client meetings, and internal pass-offs.

Manage the sales calendar with precision — you’re the keeper of time and order.

Keep the CEO and sales team operating efficiently and on schedule.
Lead Intake & Initial Contact

Make the first call or email to new inquiries — friendly, polished, and confident.

Collect and organize property details, client info, and job specs.

Research PAPA data and property specifics to prep the sales team and update internal systems.
Internal Coordination & Follow-Up

Liaise with the design team to request renderings, pricing, and changes.

Push for updates and hold departments accountable to deliverables.

Ensure all documentation is complete and organized before transitioning to the project team.
Who You Are

Deadline-driven and not afraid to hold others accountable.

A natural organizer and communicator, especially in fast-paced environments.

Comfortable being the central point of contact and escalation.

Calm under pressure, professional in tone, and clear in your follow-up.

Tech savvy, especially with Apple products, Salesforce (or other CRMs), and Google Suite.

Someone who brings polish, precision, and positivity into everything they do.
Experience & Qualifications

2–4 years in a project coordination, executive assistant, or legal assistant role
-
Experience working in real estate, construction, architecture, or luxury goods is a plus
-
Strong phone and email communication skills

Exceptional attention to detail and accuracy

Confidence managing up and across departments

Work Hours:
- Full-time: Monday - Friday, 8 AM - 5 PM, with occasional nights and weekends as needed.

- $55k-$65k annually, based on experience.
