WHAT WE ARE LOOKING FOR:

Currently seeking an Office Administrator / Coordinator at the Corporate Office to work with tenants in a business environment, in Coral Gables, FL area.

RESPONSIBILITIES:

First point of contact and will provide specialized services to our VIP clients, high-ranking managers, and guests to ensure they receive the best possible experience during their visit.

Perform administrative and reception duties for the corporate office, greet guests upon arrival, manage conference room bookings, process incoming and outgoing mail, handle and route requests as needed, provide switchboard relief, arrange transportation and book travel for executives, and run errands.

Ensure and be involved in the day-to-day operations of the building, including, but not limited to, accounting, tenant relations, and maintenance and repair service requests.

Assists the corporate executive's team and provides specialized services to our VIP clients, high-ranking managers, and guests to ensure they receive the best experience services.

Maintaining the physical asset and maximizing the financial returns from that asset in accordance with the owners' objectives.

Maintain office clerical, filing, and record-keeping systems.

Maintain conference rooms and prep for client meetings.

Maintain an adequate inventory of all office supplies and contact all vendors when maintenance is required on general office equipment.

Process incoming and outgoing mail.

Book transportation and travel for the executive team.

Assist with sorting and coding invoices for payment.

Investigate cost reduction opportunities.

Assist in providing additional support and relief to other team members.

Ensures staff compliance with company policies and procedures.

Ensures staff perform duties on a timely basis.

Assists with special projects and administrative tasks.

Performs other duties as assigned.

REQUIREMENTS:

Above-average telephone and communication skills, including the ability to read, write, and comprehend the English language at a fluent and professional level.

Fluency in the Spanish language is a plus.

Strong communication skills paired with the ability to train and coach staff.

Strong analytical and problem-solving skills.

Attention to detail and exceptional follow-through.

Ability to multitask in a fast-paced, ever-changing environment.

Operates the property efficiently in compliance with company guidelines to achieve maximum return on investment (ROI) for the property owner.

Manage the property office activities and oversee the maintenance and physical operations of the building through the utilization of the Maintenance Supervisor and staff.

Maintains and utilizes level knowledge of common management business practices to ensure effective implementation of plans and strategies, and to ensure timely corporate reporting, including:

  • Communicates effectively to ensure goals are being achieved.
  • Models a high level of customer service and ensures all employees display a courteous and helpful attitude towards tenants, co-workers, and all visitors to the property.
  • Practices and promotes a team environment.
  • Follows and demonstrates company policies, procedures, and best practices, both as an individual and as the first point of contact.
  • Other duties as assigned.
