We are seeking a highly qualified Executive Assistant to support our CEO/President, playing a key role in the strategic management of the company. This position requires sharp thinking, exceptional organizational skills, and a high level of professionalism.


Key Responsibilities:


  • Manage the CEO’s calendar, coordinating meetings, appointments, travel, and events with accuracy and efficiency
  • Serve as a liaison between the CEO and internal departments, clients, partners, and investors
  • Prepare and review executive-level documents, presentations, and reports, ensuring quality and confidentiality;
  • Organize domestic and international travel, including logistics, flights, accommodations, visas, and itineraries;
  • Support board meetings by preparing agendas, materials, meeting minutes, and tracking follow-ups;
  • Ensure the smooth flow of sensitive information and documents with discretion and professionalism;
  • Assist with administrative tasks related to office operations and executive routines.


Skills & Competencies:


  • Outstanding organizational skills, attention to detail, and ability to manage multiple priorities
  • Clear, diplomatic, and effective communication—both written and verbal
  • Trustworthy and discreet when handling confidential information
  • Proactive mindset with strong problem-solving abilities
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and organizational tools (Outlook, calendars, etc.)


Requirements:


  • Bachelor’s degree in Executive Assistance, Business Administration, Communications, or related fields
  • Proven experience supporting C-level executives or senior leadership
  • Fluency in English and Portuguese (Spanish is a plus)
  • Experience in international corporate or high-level executive environments
  • Residency in Miami or availability for full-time on-site work
  • Valid U.S. visa or work authorization
