Position Summary
We are seeking a highly skilled and proactive Executive Assistant to support the executive leadership team onsite in Palm Beach Gardens. This role requires exceptional organizational skills, discretion, and the ability to thrive in a fast-paced, high-pressure environment. The ideal candidate is a confident communicator and seasoned administrative professional with a proven track record of supporting C-suite or senior global leaders. Flexibility to work beyond standard business hours is essential to meet dynamic priorities and ensure the team’s goals are achieved.
Key Responsibilities
- Manage and adjust complex calendars, schedules, and meeting logistics across time zones
- Coordinate domestic and international travel, including detailed itineraries and timely expense report processing
- Prepare and consolidate materials for high-level meetings, including senior business reviews
- Oversee planning and execution of executive leadership events and internal meetings
- Handle sensitive information with the utmost confidentiality and professionalism
- Draft correspondence, reports, and presentations with attention to accuracy and tone
- Communicate effectively with internal teams and external stakeholders at all levels
- Provide additional administrative support and assist with special projects as needed
Basic Qualifications
- High school diploma or GED
- Minimum of 7 years of experience supporting senior executives, including C-suite or global leaders
Preferred Qualifications
- Bachelor’s degree
- Prior experience in large, complex corporate environments (e.g., billion-dollar+ revenue organizations)
- Proficient in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word, Teams) and Zoom
- Demonstrated discretion when handling confidential and sensitive matters
- Exceptional written and verbal communication skills with a professional tone
- Strong judgment, time management, and the ability to prioritize under pressure
- Highly organized, with a talent for coordinating leadership events and business reviews
- Flexible, adaptable, and calm under shifting priorities and fast-paced conditions
- Experience organizing events involving senior executives and key stakeholders
- Self-starter who works well independently and takes initiative
- Proven ability to handle multiple tasks and projects efficiently.
