Position Overview:
The Airfreight Assistant supports the day to day operations of the airfreight department by ensuring the timely and efficient handling of air shipments. This position plays a key role in maintaining documentation accuracy, coordinating with carriers and customers, and supporting the smooth flow of import/export airfreight processes. The ideal candidate is detail oriented, highly organized, and capable of working in a fast paced environment.
Key Areas of Responsibility (Include but not limited to):
- Assist in coordinating import and export air shipments from booking through delivery.
- Prepare and process shipping documents, including air waybills (AWB’s), commercial invoices, packing lists, and customs declarations.
- Track and trace shipments, providing timely updates to internal teams and customers.
- Communicate with airlines, ground handlers, customs brokers, and freight forwarders.
- Ensure compliance with internatoinal shipping regulations, customs requirements, and company policies.
- Support billing processes by verifying charges and preparing documentation for invoicing.
- Maintain up to date records of shipments and file all related documents appropriately.
- Perform data entry and use freight management systems to manage shipment information.
- Provide general administrative support to the airfreight department as needed.
- Perform other duties as assigned by management.
Qualifications and Skills:
- Previous experience in logistics, freight forwarding, or airfreight operations is a plus.
- Familiarity with airfreight documentation and international shipping processes preferred.
- Strong organizational and time management skills.
- Proficient in Microsoft Office (Excel, Word, Outlook).
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team in a deadline driven environment.
- Customer service oriented and attention to detail.
- Bilingual in English and Spanish; Portuguese is a plus.
Education Requirements:
- High School diploma or equivalent required.
- Associate’s or bachelor’s degree in Logistics, international business, supply chain, or related field preferred.
Work Conditions:
- May required to work extended hours during peak season or urgent shipments.
- Office based role.
