RESPONSIBLE TO: Billing Admin and Chief Operating Officer
JOB SUMMARY: The Workers' Compensation AR & Coordination Specialist is responsible for coordinating appointments for workers' compensation patients, posting charges for work comp related forms, and managing outstanding encounters with open balances. This role involves close collaboration with various departments, including our in-house PT/OT department. Effective communication with insurance adjusters and nurse case managers to ensure seamless care coordination is a must. The specialist will also work directly with workers' compensation carriers to determine the necessary steps needed on our end to resolve and collect outstanding balances. This position requires strong communication, organizational, and problem-solving skills, with the ability to efficiently manage multiple tasks and work both independently and collaboratively within a team.
EDUCATION/EXPERIENCE REQUIREMENTS: A High School Diploma or equivalent is required. While a college degree is not necessary, a minimum of 2 years of relevant experience in healthcare scheduling, accounts receivable, or administrative support is strongly preferred. This experience should demonstrate the ability to manage multiple tasks efficiently and work collaboratively in a fast-paced environment.

REPSONSIBILITIES INCLUDE BUT NOT LIMITED TO:
- Coordinate and schedule appointments for Workers' Compensation (WC) physical therapy and occupational therapy, track appointment counts, and obtain necessary authorizations and billing information.
- Communicate effectively with insurance adjusters and nurse case managers to ensure seamless care coordination.
- Maintain ongoing communication with the Physical Therapy department to ensure a smooth process for WC patients.
- Perform tasks related to the Department of Labor (DOL) portal, including requesting treatment authorizations for claimants and resolving (AR) denials for DOL-related claims.
- Post charges for WC-related forms and no-show appointments.
- Manage incoming WC faxes by sorting, routing to appropriate departments, or filing as necessary.
- Schedule new WC patients as required by the coordination team's needs and patient flow.
- Assist with voicemail and email management to support the work comp coordination team.
- Create cases to attach to physical therapy WC appointments when the payer differs from the primary WC payer.
- Handle WC AR tasks within NextGen.
- Complete AR projects as assigned by department leadership.
- Utilize DaisyBill for the following tasks:
- Manage underpayments related to WC payments.
- Process corrected claims.
- Handle appeals for WC claims.
- Aid with paper denials delivered by USPS as needed.

- Traveling:This position may require limited travel between offices and for conferences. Mileage will be reimbursed by the office.
- Hours: Typical standard office hours are expected but there may be instances where late hours are needed.
- Physical demands: Employee is regularly required to sit, talk or hear. The employee is also required to perform the following: standing, walking, using hands to finger, handle or feel, bending, stooping, lifting up to 20# occasionally, climb or balance, kneel, crouch or crawl.
- Vision requirement: Requires ability to perform close vision, peripheral vision, adjust focus, and spend up to 7-8 hours in front of a computer.
