The Administrative Assistant provides administrative and clerical support to the property management team, ensuring smooth daily office operations. This role serves as a primary point of contact for residents, vendors, and board members while maintaining accurate records and supporting communication, scheduling, and reporting needs.
Key Responsibilities:

Answer phones, emails, and greet residents, board members, and visitors

Provide administrative support to the Property Manager and management team

Maintain resident records, files, and databases

Assist with preparation and distribution of notices, correspondence, and meeting materials

Schedule meetings, appointments, and maintenance access

Process work orders, service requests, and vendor invoices

Maintain office supplies and equipment inventory

Assist with compliance tracking (licenses, insurance certificates, contracts)

Prepare reports, spreadsheets, and basic correspondence

Support board meetings, elections, and association communications

Handle confidential information with discretion
