The Athens Group (Athens) is seeking a detail-oriented and experienced Accounts Payable Specialist to support our financial operations for the continued development of the Naples Beach Club. The ideal candidate will assist the Controller in overseeing accounting functions, ensuring compliance with documentation and preparing reports. This role is integral to maintaining the integrity and accuracy of the financial data and processes at the Naples Beach Club, a Four Seasons Resort.

The Project consists of a Four Seasons Resort Hotel (215 rooms) and private residences located directly on the beach in Naples, FL with amenities spread over 125 acres. Amenities will include an 18 hole golf course and racquet sports center. F&B outlets, conference & event spaces, a spa, fitness center, private residential amenities and beach services, all on-site. Phase II consists of four additional residential towers directly east of the hotel and ocean front residences.

Qualifications:

· Associates/Bachelors degree preferred but not required

· 3–7 years of accounts payable and/or accounting experience

· Strong knowledge of accounting principles, reconciliations, and financial reporting

· Proficiency in Microsoft Excel and accounting systems Sage 300 a plus

· Excellent attention to detail, organizational, and problem-solving skills

· Ability to work independently and as part of a team

· Strong written and verbal communication skills

· Real estate development or construction experience a plus

Primary Responsibilities:

· Review progress billing and tie out to contract/amendment, prior month balance, current balance due and balance to complete

· Review all incoming vendor invoices and code to the appropriate job cost account

· Code consultant/contractor invoices to appropriate job cost code

· Assist with approvals on monthly invoices

· Collate and scan approved invoices to corporate accounting office

· File invoices by vendor electronically

· Request new vendor information as needed (W-9’s)

· Ensure that the expense reports are done timely and is in accordance with the company's policy

· Track Notices to Owner (NTO’s) and unconditional lien releases for each General Contractor GMP Contract

· Assist in ensuring all consultant monthly invoices contain the corresponding lien release

· Assist with Job reconciliations and any cost discrepancies as needed

· Assist with vendor analysis as needed

· Compile the monthly Draw requests with detail

· Assist in the review of the monthly Draw details

· Become familiar with Sage software

· Place payment holds on invoices as needed

· Become proficient in running Sage accounting reports

· Input Accounts Payable into Sage Accounting

· Assist in ad hoc projects as assigned by the Project Controller

· Perform other finance/accounting duties assigned by supervisor or Finance Managers from the Phoenix Corporate office

· Handle all special payments each month

Must Be Able To:

· Have a dynamic work schedule so as to meet & supervise consultants/vendors/installers/deliveries as required including at times on weekends.

· Interact professionally with Athens & Project Executives, Consultants, Contractors

· Thrive in a very dynamic environment where focus may shift as priorities are identified

· Understand the “big picture” and offer solutions when faced with challenges.
