Job Description

The arbitration manager is responsible for managing and resolving all post-sales arbitration claims fairly and efficiently according to auctions policies and industry standards. This role serves as the central point of contact for arbitration disputes coordinating with buyers, sellers, and internal departments to investigate claims, mediate solutions, and ensure the integrity and flow of the auction process.

Key Responsibilities:

The arbitrator is responsible for for purchases and sales arbitrations claims, including

1. Manage Arbitration Claims: Handle the entire arbitration process initiation to closure, including reviewing customer claims to verify compliance with auction and National Automotive Dealers Association (NAAA) policies.

2. Investigation and documentation: Coordinate investigations into claims, which may involve gathering information from various departments, arranging third party inspections, and verifying vehicles conditions.

3. Communication: Serve as the primary liaison between buyers and sellers keeping all parties informed about claim status, process timelines, and final decisions.

4. Negotiation and Resolutions: Work to negotiate mutually acceptable resolutions such as repairs or price adjustments, to finalize sales and prevent cancellations.

5. Policy enforcement: Understand, communicate, and strictly enforce the auction's arbitration policies and procedures.

6. Record Keeping: Maintain accurate, detailed, and organized records of all arbitration cases, claims, and resolutions.

7. Process Improvement: Identify opportunities to streamline arbitration processes, implement new procedures, and provide training to other staff as needed.

8. Cross-functional Collaboration: Interface with various departments including Recon, Acquisitions, Inventory, Titles, and Accounting to gather information and resolve complex cases.

9. Reporting: Advise management on serious customer complaints and provide data for reporting and analysis.

10. The arbitrator is responsible for for purchases and sales arbitrations claims, including taking the necessary steps to reduce inventory, quoting the required repairs, and adjust the prices to keep/sell units.

Qualifications:

High school diploma or equivalent required; a bachelor's degree is a plus.

Experience in auctions and dispute resolution are required

Two years of experience in the automotive industry (e.g.mechanical, body shop) or in a claims/dispute resolution role.

Proven knowledge of auto auction operations and NAAA policies.

Strong organizational, time management, and attention to detail skills.

Ability to work in a fast paced, fluid environment and adapt to changing conditions.

Excellent communication, negotiation, and interpersonal skills.
