The firm is seeking a highly skilled and polished Executive Assistant to work directly with the CEO. This individual will serve as a trusted partner and play a critical role in ensuring the seamless operation of executive leadership.
Position Overview
The Executive Assistant to the CEO will provide comprehensive executive support, ensuring that the CEO can focus on driving the firm’s vision, strategy, and business growth. This is not a traditional administrative role; it requires someone with strong business acumen, the ability to handle complex and sensitive matters, and a sharp eye for detail.
Due to the firm’s extensive involvement in contracts, compliance, and real estate transactions, a legal background is strongly preferred. Experience reviewing, drafting, and maintaining legal and corporate documentation will be a significant asset. Key Responsibilities
- Provide day-to-day executive support to the CEO, including complex calendar management, meeting coordination, and travel logistics
- Prepare, draft, review, and maintain legal contracts, agreements, and compliance-related documentation with accuracy and confidentiality
- Act as a liaison between the CEO and internal teams, board members, investors, attorneys, and external partners
- Support the CEO in preparing for board meetings, presentations, investor updates, and key strategic initiatives
- Draft correspondence, prepare reports, and maintain records to the highest professional standard
- Monitor incoming requests and communications, prioritize effectively, and ensure timely follow-up
- Conduct research and compile briefing materials to support executive decision-making
- Handle confidential and sensitive information with discretion, ensuring the highest levels of trust and integrity
- Anticipate the needs of the CEO and provide proactive solutions to minimize disruptions and maximize efficiency
- Assist in special projects and strategic initiatives across the firm, particularly those requiring coordination with legal and financial advisors
Qualifications
- Minimum of 5-7 years of experience supporting C-Suite executives, ideally within real estate, legal, finance, or corporate sectors
- Strong knowledge of legal documentation, contracts, and compliance practices; paralegal or legal assistant background highly desirable
- Bachelor’s degree preferred; legal or business-related coursework is a plus
- Exceptional organizational, written, and verbal communication skills
- Ability to thrive in a fast-paced, high-stakes environment where priorities shift quickly
- Professional presence with the ability to represent the CEO and firm to internal and external stakeholders
