Job Description
This role supports the financial and sales operations of a leading supplier of Italian-made technology for the ceramic and tile industry in North America. The Accounting & Sales Support Lead will work closely with executive leadership, managing core accounting functions while supporting the sales order lifecycle. This position offers hands-on responsibility and visibility in a growing, dynamic business.
While the responsibilities listed below are broad, only a subset will be handled on any given day. The ideal candidate is adaptable, proactive, and comfortable working across functions.
The position reports directly to the CEO and Accounting/Controller.
Banking & Accounting
- Review all bank and credit card accounts, download transactions, and perform account reconciliations
- Prepare monthly journal entries, cash flow analysis, and reconciliations for month-end close
- Accounts Payable
- Prepare Euro forecasts and request spot and forward exchange quotes
- Submit vendor payments and wire instructions to financial institutions
- Process check payments
- Accounts Receivable
- Finalize and submit client invoices via the Tungsten Network Portal
- Submit invoices via PayPal as required
- Process invoices for chargebacks
- Manage and analyze affiliate balances and ensure timely collection of receivables
- Special Projects
- Set up income and expense project reports to track installment payments
- Finalize customer deposit invoices
- Maintain organized digital filing systems for reports, contracts, and financial documentation
- Other accounting and administrative projects as assigned by the CEO
Sales Support & Order Processing
- Strong understanding of the full sales cycle: Quote → PO → SO → Invoice
- Perform heavy data entry related to:
- Quotes, sales orders, and customer records
- Vendor purchase orders in QuickBooks
- Communicate order confirmations and relevant updates to customers as needed
- Maintain and update reports reflecting:
- Open sales orders
- Open purchase orders
- Current order status and sales activity
- Provide sales reporting and analysis to support management decisions
QuickBooks Responsibilities
- Assist with system implementations and ongoing maintenance
- Run QuickBooks file verifications as needed
- Set up users and define user roles
- Enter inventory adjustments and manage item code changes
- Set up new vendors and customers
Future Phase (Phase 2 Responsibilities)
- Taxes, annual compliance, and renewals
- Monthly Georgia sales tax filings
- Additional compliance tasks to be defined
Required Qualifications & Skills
- Bachelor’s degree in Accounting or a related field
- Strong understanding of financial accounting principles
- 7–10 years of accounting experience
- Minimum 7 years of QuickBooks Enterprise experience
- Highly organized with exceptional attention to detail
- Strong time management and prioritization skills
- Team-oriented, adaptable, and comfortable in a fast-paced environment
- Excellent interpersonal and written communication skills
- Proficiency in:
- Microsoft Excel (including pivot tables, data analysis, and reporting)
- Microsoft Office, Outlook, and OneNote
- Professional-level writing and documentation skills
