Office Assistant/ Bookkeeper – Residential Building (Tops & Enumerate Experience Required)
We are looking for a detail-oriented and organized Office Assistant to support the daily administrative and financial operations of our residential building management office. The ideal candidate has hands-on experience using Tops and Enumerate property management software, as well as a strong background in accounts receivable, accounts payable, and collections.
Key Responsibilities

Process accounts receivable: post payments, track delinquencies, prepare resident statements, and support collection efforts

Handle accounts payable: enter invoices, verify vendor statements, prepare payments, and maintain accurate financial records

Use Tops and Enumerate software for data entry, reporting, resident account management, and financial tracking

Assist in preparing monthly financial reports and documentation

Communicate professionally with residents, vendors, and management via phone, email, and in person

Uphold confidentiality and accuracy in all financial and resident-related matters
Qualifications

Required: Experience using Tops and/or Enumerate property management software

Required: Strong understanding of accounts receivable, accounts payable, and collections processes

Prior experience working in property management, residential buildings, or a similar administrative role preferred

Proficiency in Microsoft Office (Excel, Word, Outlook)

Excellent communication skills—both written and verbal

Strong organizational skills and attention to detail

Ability to work independently, manage multiple tasks, and meet deadlines

Professional, courteous demeanor when interacting with residents and vendors
