Job Overview
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations and exceptional customer service. You will serve as the first point of contact for visitors and callers while managing a variety of clerical tasks that keep our office running efficiently. Duties

  • Greet visitors warmly, manage the front desk, and direct them appropriately with professional phone etiquette.
  • Operate multi-line phone systems to handle incoming calls efficiently, transferring or taking messages as needed.
  • Maintain organized filing systems, perform data entry, and ensure accurate record keeping using tools like Microsoft Office.
  • Manage calendar appointments, schedule meetings, and coordinate calendar management for team members or executives.
  • Support office management tasks such as ordering supplies, proofreading documents, and assisting with bookkeeping or invoicing processes.
  • Provide exceptional customer service by answering inquiries promptly and supporting clients in person or over the phone.
  • Assist with clerical duties including typing, proofreading, filing, data entry, and maintaining office cleanliness and organization.

Qualifications

  • Proven experience in an office environment with strong clerical skills and familiarity with office procedures.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, etc.) and basic computer literacy.
  • Experience with multi-line phone systems, data entry, filing, and calendar management.
  • Bilingual abilities are highly desirable to serve diverse client needs effectively.
  • Excellent organizational skills with the ability to prioritize tasks efficiently and manage time effectively.
  • Strong customer service orientation with professional phone etiquette and interpersonal skills.
  • Knowledge of QuickBooks or bookkeeping experience is a plus.
  • Previous experience as a receptionist or administrative assistant in medical or dental offices is advantageous but not required.
