Our owned and operated marquee events serve as powerful platforms for brands to engage directly with local consumers in South Florida. Sponsorship sales are a key revenue driver for our business, and we are seeking a motivated Partnerships Project Coordinator to provide critical support to our Senior Manager of Marketing Partnerships and help ensure the successful execution of our sponsorship initiatives.
POSITION SUMMARY
The Partnerships Project Coordinator will play an integral role in supporting the marketing partnerships team by assisting with sponsorship prospecting, project management, partner deliverables, and post-event reporting. This entry-level role is ideal for a detail-oriented, organized, and proactive individual who is eager to learn the business side of live events, brand partnerships, and experiential marketing.
The Coordinator will work closely with the Sr. Manager of Marketing Partnerships, providing administrative and operational support to ensure partnerships are executed seamlessly and that our partners receive maximum value from their collaborations with Loud And Live.
KEY RESPONSIBILITIES
Partnership Support & Coordination
- Assist Sr. Manager in day-to-day management of sponsorship projects and partner relationships.
- Track partnership deliverables and deadlines to ensure commitments are met on time.
- Support creation and editing of partnership proposals, pitch decks, and recap reports.
- Coordinate with internal teams (event production, marketing, operations) to support partnership activations and asset delivery.
Prospecting & Research
- Research potential sponsors and partnership prospects across relevant industries.
- Maintain and update prospecting lists and CRM database (HubSpot).
- Assist in outreach efforts by preparing prospecting materials, tracking responses, and scheduling meetings.
Event & On-Site Support
- Support sponsorship activation on-site during events, ensuring partner deliverables are executed as promised.
- Capture photos, notes, and data for use in partner recap reports.
- Assist with hospitality, client check-ins, and day-of event logistics as needed.
Reporting & Documentation
- Help prepare post-event recap reports and gather key metrics to highlight ROI for partners.
- Maintain organized records of partnership agreements, activations, and communications.
- Assist in preparing internal reports on sales pipeline and partnership performance.
REQUIRED QUALIFICATIONS
- Bachelor’s degree in Marketing, Business, Communications, or related field (or equivalent experience).
- 0–2 years of experience (internship or entry-level role in marketing, partnerships, events, or project coordination preferred).
- Strong organizational and time-management skills, with attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
- Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
- Team-oriented with a proactive attitude and willingness to learn.
- Familiarity with CRM systems (HubSpot a plus).
- Passion for live entertainment, events, and brand partnerships.
TRAVEL REQUIREMENTS
- Less than 10% domestic travel; must be available to work evenings and weekends as needed for events.
PHYSICAL REQUIREMENTS
- Primarily desk-based role with significant computer work.
- Occasional on-site event support, requiring standing, walking, and light lifting.
