Job Title: Executive Assistant – Law Office

Overview:
We are seeking an organized, detail-oriented, and proactive Executive Assistant to provide high-level administrative support to attorneys and firm leadership. This role requires exceptional organizational skills, discretion in handling confidential information, and the ability to manage a fast-paced workload in a professional legal environment.

Key Responsibilities:

  • Manage calendars, schedule meetings, and coordinate travel arrangements for attorneys and executives.

  • Draft, proofread, and format legal correspondence, contracts, and other documents with accuracy.

  • Prepare and organize case files, exhibits, and supporting materials for court appearances, client meetings, and depositions.

  • Serve as a point of contact for clients, vendors, and internal staff, ensuring prompt and professional communication.

  • Handle confidential and sensitive information with discretion.

  • Maintain filing systems (electronic and physical) to ensure quick retrieval of case-related materials.

  • Track deadlines, court dates, and key deliverables, ensuring attorneys are fully prepared.

  • Assist with billing processes, expense reports, and time entry.

  • Support office operations, including ordering supplies and liaising with IT and building management as needed.

Qualifications:

  • 3+ years of experience as an Executive Assistant, preferably in a legal or professional services environment.

  • Strong knowledge of Microsoft Office Suite; familiarity with legal software (e.g., Clio, NetDocuments, iManage) is a plus.

  • Excellent written and verbal communication skills.

  • High attention to detail and strong organizational skills.

  • Ability to prioritize and manage multiple tasks under tight deadlines.
