Job Title: Executive Assistant – Law Office
Overview:
We are seeking an organized, detail-oriented, and proactive Executive Assistant to provide high-level administrative support to attorneys and firm leadership. This role requires exceptional organizational skills, discretion in handling confidential information, and the ability to manage a fast-paced workload in a professional legal environment.
Key Responsibilities:

Manage calendars, schedule meetings, and coordinate travel arrangements for attorneys and executives.

Draft, proofread, and format legal correspondence, contracts, and other documents with accuracy.

Prepare and organize case files, exhibits, and supporting materials for court appearances, client meetings, and depositions.

Serve as a point of contact for clients, vendors, and internal staff, ensuring prompt and professional communication.

Handle confidential and sensitive information with discretion.

Maintain filing systems (electronic and physical) to ensure quick retrieval of case-related materials.

Track deadlines, court dates, and key deliverables, ensuring attorneys are fully prepared.

Assist with billing processes, expense reports, and time entry.

Support office operations, including ordering supplies and liaising with IT and building management as needed.
Qualifications:

3+ years of experience as an Executive Assistant, preferably in a legal or professional services environment.

Strong knowledge of Microsoft Office Suite; familiarity with legal software (e.g., Clio, NetDocuments, iManage) is a plus.

Excellent written and verbal communication skills.
