Responsibilities:
- Answer phones and greet customers with professional and friendly service
- Handle emails, scheduling, and appointment coordination
- Manage accounts payable and accounts receivable
- Prepare and send invoices using QuickBooks
- Reconcile bank and credit card statements
- Process payroll, assist with sales tax filings
- Maintain organized vendor and customer records
- Perform data entry, filing, and document preparation
- Assist with construction project tracking and support field staff
- Support team with clerical tasks and special administrative projects
Required Skills & Experience:
- 1+ years of experience in administrative, bookkeeping, or office assistant roles
- Proficiency in QuickBooks, Microsoft Word, Excel, Outlook
- Strong attention to detail and organizational skills
- Excellent written and verbal communication abilities
- Time management and multitasking in a fast-paced environment
Preferred:
- Experience in a construction office or fabrication shop
- Notary public
- Familiarity with social media marketing or website management
Job Type & Work Schedule:
- Job Type: Full-time
- Schedule: Monday – Friday, 7:30 AM to 4:30 PM
- Work Setting: In-person, office environment in Jupiter, FL
