We are seeking a highly tech-savvy, resourceful, and proactive Executive Assistant to provide exceptional administrative and operational support to our Senior Executive. This role is central to enabling executive effectiveness through advanced digital literacy, systems optimization, real-time problem solving, and data-driven workflows.
Key Ongoing Responsibilities for the Role:
Executive & Operational Support
- Prepare executive correspondence, briefings, and documents with exceptional accuracy and formatting precision.
- Ensure efficient information flow between C-suite leaders and internal/external stakeholders.
- Draft, edit, and distribute meeting minutes, follow-up trackers, communication briefs, and executive summaries using digital workflow tools.
- Manage expense reporting, corporate credit card reconciliation, and financial tracking.
- Manage highly complex calendars across time zones using AI scheduling tools and priority-based logic.
- Build digital workflows for agenda preparation, meeting packets, and automated pre-reads.
- Coordinate hybrid meetings using Teams, Zoom, digital whiteboards, and collaboration tools.
- Coordinate travel and itineraries, arranging pertinent meetings based on trip objectives.
Digital Project & Leadership Support
- Research industry trends and ensure executives receive timely, data-informed insights.
- Support strategic initiatives with dashboards, trackers, and reporting templates.
- Develop presentations, visuals, reports, using advanced PowerPoint, Excel, and other platforms.
- Maintain organized, cloud-based knowledge systems ensuring version control and archival integrity.
Cross-Functional & Global Coordination
- Facilitate communication across global teams, internal and external stakeholders in support of the Senior Executive’s directives.

Preferred:
- Advanced use of Microsoft 365, Teams, SharePoint, OneDrive, Power Automate, and Docusign.
- Ability to quickly learn.

- Strong security, compliance, and digital hygiene practices.
