Job DescriptionSalary:
The Data Entry Clerk supports the operations and documentation teams by accurately entering, updating, and maintaining shipping and cargo-related data in the companys systems. This role ensures the timely processing of information for bills of landing, manifests, container tracking, and other operational records, playing a critical role in smooth cargo flow and compliance with international shipping requirements.
Key Responsibilities:
1. Data Entry & Verification
Accurately enter shipping and cargo information into operational systems, including container numbers, seal details, weights, and commodity descriptions.
Prepare and update bills of landing, cargo manifests, and customs documentation.
Verify data against source documents such as booking confirmations, cargo receipts, and shipping instructions.
2. Documentation Support
Ensure that all data is entered in compliance with company procedures, port authority rules, and international maritime regulations.
Assist with EDI (Electronic Data Interchange) transmission of manifests and related documentation to customs and port systems.
Maintain organized digital and physical records for easy retrieval and audit readiness.
3. Coordination & Communication
Collaborate with booking, documentation, and operations teams to resolve discrepancies in data.
Communicate with customers, freight forwarders, and agents to obtain missing or corrected shipping information.
Provide timely updates on documentation status to relevant departments.
4. Reporting & Tracking
Generate standard operational reports, such as container status, load lists, and shipment tracking.
Monitor pending or incomplete records to ensure all data is finalized before vessel departure.
Support management with data summaries for performance analysis.
Skills and Qualifications:
Education: High school diploma or equivalent
Experience: 13 years of clerical, administrative, or data entry experience, preferably in shipping, logistics, or freight forwarding.
Technical Skills:
o Proficiency with Microsoft Office (Excel, Word, Outlook).
o Experience with GDZ is a plus
Soft Skills:
o Strong attention to detail and accuracy.
o Ability to work under tight deadlines in a fast-paced environment.
o Good communication and teamwork skills.
Working Conditions:
Office-based role in office.
