Job Description:
As an Administrative Customer Support Specialist at Mega Bee, you will play a pivotal role in shaping exceptional customer experiences and driving the success of our daily operations. You’ll be the first point of contact for our valued clients; answering inquiries, scheduling service appointments, and resolving issues with professionalism, warmth, and efficiency.
Beyond customer interaction, you'll also serve as a vital support system for our field technicians and leadership team, helping to coordinate service logistics, streamline communication, and ensure everything runs smoothly behind the scenes. Your ability to stay organized, communicate clearly, and proactively solve problems will directly contribute to the strength and growth of our team, our services, and the trust we build with our community.
Responsibilities:

Provide real-time support to field technicians by relaying updates, coordinating logistics, and ensuring smooth day-to-day operations.

Monitor service activity and assist in identifying operational inefficiencies or service gaps, contributing to continuous improvement.

Collaborate with the leadership team to develop and track Key Performance Indicators (KPIs) that enhance customer satisfaction and internal efficiency.

Assist in preparing internal reports on service performance, customer trends, and scheduling effectiveness.

Assist with administrative and operational projects as needed to help drive business growth and performance.

Collaborate with the leadership team to refine standard operating procedures (SOPs) and internal workflows for improved service delivery.

Serve as the first point of contact for clients via phone, text, and email; responding promptly, warmly, and professionally to all inquiries.

Schedule, coordinate, and adjust service appointments to ensure efficient technician routing and an exceptional customer experience.

Resolve customer concerns with empathy and urgency; escalate complex issues to leadership when necessary for timely resolution.

Maintain accurate, detailed records of customer interactions, job notes, service updates, and account information using our CRM platform.
What This Role Needs:

A proactive, solution-focused mindset with the ability to anticipate needs and resolve issues quickly

Strong verbal and written communication skills to interact professionally with customers and team members

Excellent organizational skills and attention to detail when managing schedules, records, and client follow-ups

Comfort with technology and the ability to learn and use CRM platforms (such as GorillaDesk) and digital communication tools

High proficiency in email, instant messaging, and other electronic communication platforms

A collaborative attitude and willingness to support both customers and field technicians as part of a unified team

The ability to multitask and stay calm and adaptable in a fast-paced, dynamic work environment

Accountability, initiative, and a desire to continuously improve processes and performance

A positive, friendly, and service-driven personality with a passion for helping others

Previous customer service experience is highly preferred

Prior experience in scheduling and/or call center operations is advantageous

Must be Bilingual with English and Spanish

Typing speed of at least 35 words per minute (WPM), proficiency in 10-key, and adeptness with phone systems.
Compensation and Benefits:

Starting Pay: $19-$24 per hour

10% commission on all new business sales

Quarterly bonuses based on performance

Saturday mornings from 9am-1pm as needed - rotational (Any hours over 40 would be paid as overtime!)
