Administrative Assistant – Join Our Growing Team

We are seeking a reliable, detail-oriented Administrative Assistant to join our team. This role provides high-level administrative support to our executive team and internal staff. The ideal candidate is organized, proactive, and comfortable managing client-facing responsibilities with accuracy and professionalism.

Responsibilities

• Provide administrative support to executive leadership and administrative staff
• Manage client onboarding, including intake documents, forms, and file setup
• Prepare, send, track, and follow up on client intake and onboarding documents
• Arrange and manage conference calls, meetings, and calendars
• Perform outbound calling and professional email correspondence
• Handle client communications with clarity, professionalism, and follow-through
• Coordinate schedules and manage internal deadlines
• Train and assist lower-level clerical staff as needed
• Account management, file review, and internal follow-ups
• High-level data entry with strong attention to accuracy and attention to detail

Qualifications

• Previous experience as an Administrative Assistant, Executive Secretary, Legal Assistant, or similar role
• Proficiency in Microsoft Office (Outlook, Word, Excel)
• Strong organizational, documentation, and time-management skills
• Ability to prioritize tasks and multitask in a fast-paced environment
• High attention to detail and accuracy with client records
• Bilingual (Spanish) is a plus, but not required
