We are seeking a highly organized and proactive Operations Assistant to join a private Family Office based in Miami, FL. This role will work alongside another assistant with complementary responsibilities, providing hands-on support across household, philanthropic, and business initiatives. The ideal candidate will have exceptional attention to detail, strong project management skills, and the ability to liaise with internal and external stakeholders.


Responsibilities:

  • Track open items and follow up on action points to ensure timely completion.
  • Pull together decks and presentations to provide options and recommendations to the Principal.
  • Liaise with key players across various projects, events, and philanthropic initiatives.
  • Take detailed meeting notes and maintain accurate records for ongoing projects.
  • Manage inventory, procurement, and assist with sourcing items for household and events.
  • Collaborate with the property manager and on-site staff at multiple residences to ensure smooth operations and upkeep.
  • Support construction and renovation projects, including coordinating contractors and monitoring timelines.
  • Plan and execute events, including the end-of-year holiday party, holiday gifting and cards, summer events, and other social or philanthropic gatherings.
  • Assist with charitable initiatives, including gift-giving and event coordination.


Requirements:

  • 5–10 years of experience in a similar role within a family office, private household, or high-level project management capacity.
  • Proven ability to manage multiple projects simultaneously with discretion and precision.
  • Excellent organizational, administrative, and communication skills.
  • Experience liaising with vendors, property managers, and staff across multiple locations.
  • Strong understanding of logistics, timelines, and budget management.
  • Tech-savvy, with proficiency in tracking inventory, budgets, and procurement systems.
  • Professional demeanor with the ability to travel with principals as needed.


Schedule: Monday–Friday, 8:30 AM to 6:00 PM

Flexibility required depending on project or travel needs


Compensation: $90,000–$120,000 DOE, full benefits included.
