We are looking for a trusted and proactive Executive & Operations Support Specialist who thrives on taking initiative, paying close attention to detail, and delivering high-quality results. As a trusted extension of the CEO, the ideal candidate will not only manage day-to-day administrative tasks with precision but will also support company operations by assisting with internal processes, technology tools, and cross-team collaboration.

This role is ideal for someone who wants to add long-term value, thinks ahead, and ensures both leadership and operations are supported with excellence.

Key Responsibilities

  • Provide direct support to the CEO, including drafting, editing and sending professional correspondence and communications on behalf of leadership, scheduling, calendar management, meeting preparation, and follow-up.

  • Anticipate the needs of the CEO and proactively managing priorities, projects and while ensuring deadlines are consistently met.

  • Assist with operational projects such as process documentation, coordination with IT, and supporting innovation initiatives.

  • Track priorities and ensure alignment between leadership goals and operational execution.

  • Serve as a point of contact for internal and external stakeholders with professionalism and discretion.

  • Identify opportunities for efficiency, automation, and improved workflows.

  • Uphold confidentiality and handle sensitive information with trust and integrity.

Qualifications

  • Proven experience as an Executive Assistant, Administrative Manager, Operations Assistant or similar role supporting senior leadership.

  • Strong written and verbal communication skills; ability to draft correspondence on behalf of leadership.

  • Exceptional attention to detail with the ability to manage multiple tasks and shifting priorities.

  • Highly proactive and solutions-driven, with the ability to anticipate needs before they arise.

  • Professional discretion in handling sensitive and confidential information.

  • Tech-savvy, with proficiency in Microsoft 365 (Outlook, Teams, SharePoint), and comfort learning project management tools (e.g., ClickUp, Trello, or similar).

  • Strong organizational and time-management skills in a fast-paced environment.
