Job DescriptionSummary of the Role
The Administrative & Human Resources Assistant will support the Human Resources department and administrative operations through documentation management, onboarding processes, interview coordination, employee communications, and general administrative support.
This is a full-time, on-site position requiring excellent organizational, communication, and multitasking skills.
Key Responsibilities
Administrative Support
- Maintain and organize digital and physical employee files and company documents.
- Assist in preparing reports, memos, letters, and operational communications.
- Provide administrative support to the CFO, CEO, and management with schedules, documentation, and internal coordination.
- Manage licenses, certificates, insurance updates, and compliance-related documentation.
- Assist in coordinating company events, meetings, and internal initiatives.
- Support the creation of visual materials or communications for internal use (flyers, announcements, motivational boards, etc.).
- Support the organization and improvement of the companys internal processes.
- Perform other administrative duties and responsibilities as assigned, according to the companys operational needs.
Human Resources Responsibilities
- Manage the scheduling and coordination of candidate interviews.
- Conduct pre-screening of applicants and participate in the interview process.
- Post job openings across job boards and maintain updated listings.
- Lead the onboarding process for new hires, including documentation, introductions, and workplace orientation.
- Prepare and maintain HR forms, employee checklists, manuals, and updated employee records.
- Draft internal communications such as announcements, policy reminders, and disciplinary notices when needed.
- Provide support in employee relations matters, helping maintain a positive work environment.
Qualifications
- High School Diploma required; Associate Degree preferred.
- Experience in administrative or HR support roles (1+ year preferred).
- Excellent organizational and multitasking skills.
- Strong written and verbal communication abilities.
- Ability to maintain confidentiality and handle sensitive information.
- Proficient in Microsoft Office and Google Workspace.
- Bilingual (Spanish/English) preferred.
Schedule & Work Conditions
- Monday to Friday, 8:00 AM 5:00 PM
- 1-hour lunch break

Compensation
Annual salary: $35,000 $38,000 (based on experience)
