Position Overview
We are seeking a detail-oriented and strategic IT Asset & Procurement Specialist to manage the full lifecycle of technology assets across a national organization. This role is responsible for ensuring employees have the equipment they need while maintaining cost control, operational efficiency, and asset governance.
The ideal candidate will balance high-volume purchasing execution with process improvement initiatives, including supporting the transition from legacy procurement workflows to an automated Hardware Asset Management (HAM) solution within ServiceNow.
Key Responsibilities
IT Procurement & Vendor Management
- Execute the full requisition-to-delivery lifecycle for IT hardware, including laptops, mobile devices, and infrastructure equipment
- Triage and process high-volume purchase requests while securing competitive pricing from approved suppliers
- Manage purchase orders (POs) and validate quotes against negotiated contract pricing
- Partner with Finance and Accounting to resolve invoice discrepancies
- Maintain relationships with enterprise vendors and internal procurement teams
Hardware Asset Management (HAM)
- Support governance of the IT asset lifecycle (Request → Procurement → Deployment → Retirement)
- Partner with inventory teams to maintain asset accuracy and prevent unnecessary purchases
- Coordinate shipping and logistics between offices and distribution hubs
- Ensure accurate documentation and asset tracking across systems
Process Improvement & Automation
- Support optimization and automation of Hardware Asset Management workflows within ServiceNow
- Collaborate cross-functionally to design and implement streamlined purchasing and asset processes
- Develop dashboards and reporting on asset health, spend analytics, and lifecycle trends
- Identify opportunities to reduce manual intervention and improve operational efficiency
Qualifications Required
- 3–5 years of experience in IT operations, IT procurement, supply chain, or related corporate environment
- Experience managing high-volume purchasing workflows
- Working knowledge of ServiceNow or similar IT Service Management (ITSM) platforms
- Strong understanding of IT asset lifecycle management
- Advanced Microsoft Excel skills (pivot tables, VLOOKUP, large data sets, reporting)
- High attention to detail and ability to manage repetitive tasks with accuracy
- Strong communication skills and ability to collaborate with technical teams and senior leadership
Preferred
- Bachelor’s degree in IT, Supply Chain, Business Administration, or related field
- ITIL, ServiceNow (CSA), or Hardware Asset Management certifications
- Experience with workflow automation tools (ServiceNow Flow Designer, Power Automate, or similar)
- Experience managing vendor relationships, POs, contract validation, and invoice reconciliation
