JOB TITLE: Infusion Center Coordinator

REPORTS TO: Infusion Supervisor

FLSA STATUS: Non-Exempt

JOB SUMMARY:

The Infusion Coordinator will provide essential administrative support to Gastromed’s infusion therapy center. The Infusion Center Coordinator plays a crucial role in ensuring the smooth and efficient administrative aspects of delivering infusion therapy services to patients.

QUALIFICATIONS/EDUCATION:

  • High school diploma or equivalent (Associate's or Bachelor's degree in healthcare administration or related field preferred).
  • Bi-lingual English/Spanish preferred; must be able to read, write and speak English.
  • Prior experience in administrative roles within a healthcare or medical setting (preferred).
  • Knowledge of insurance verification and prior authorization processes.
  • Strong infusion therapy knowledge
  • Knowledge of healthcare reimbursement, especially in the context of the buy-and-bill model, is highly preferred.
  • Experience in managing inventory, including ordering medications and supplies, monitoring expiration dates, and reducing waste.
  • Proficiency with computer applications, including Microsoft Office suite.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Detail-oriented with a focus on accuracy and completeness.
  • Ability to maintain patient confidentiality and adhere to privacy regulations.

ABILITIES/SKILLS:

  • Solid understanding of infusion therapy, medications, and the buy-and-bill model is important for effective communication and coordination with healthcare providers, pharmacists, and patients.
  • Proficiency in insurance verification, billing, and coding to ensure timely and accurate reimbursement for services provided.
  • In-depth knowledge and understanding of the prior authorization process and having the ability to navigate it efficiently.
  • Competency in managing medication and supply inventory, including ordering, monitoring expiration dates, and minimizing waste.
  • Effective scheduling skills.
  • Knowledge of healthcare regulations, especially those related to infusion therapy and billing.
  • Strong verbal and written communication skills.
  • Meticulous in record-keeping, documentation, and managing billing and reimbursement details.
  • Ability to resolve issues related to insurance claims, scheduling conflicts, and inventory.
  • Familiarity with electronic health record (EHR) systems, billing software, and other relevant healthcare technology.
  • Effective multitasking, prioritization, and time management skills.
  • A commitment to staying up to date with industry trends, regulatory changes, and best practices in infusion therapy and billing.
  • Ability to adhere to ethical standards and conduct oneself professionally.
  • Provide excellent customer service to patients and their families.
  • Able to always respect and maintain patient confidentiality and comply with HIPAA Regulations.
  • Must be able to conduct oneself in a professional manner.

ESSENTIAL DUTIES/ RESPONSIBILITIES:

Scheduling and Appointment Coordination:

  1. Manage the scheduling of infusion therapy appointments for patients, ensuring they align with treatment plans and patient availability.
  2. Communicate appointment details to patients, healthcare providers, and other relevant team members.

Insurance Verification and Authorization:

  1. Verify patient insurance coverage and benefits for infusion therapy services.
  2. Assist in obtaining prior authorizations and approvals from insurance providers, ensuring financial clearance for treatments.

Administrative Documentation:

  1. Maintain organized and accurate patient records, including treatment plans, progress notes, and billing information.
  2. Ensure compliance with documentation and record-keeping standards and regulations.

Medication and Supply Ordering:

  1. Coordinate the ordering of medications, supplies, and equipment necessary for infusion therapy.
  2. Track inventory levels and facilitate supply orders as needed.

Patient Communication:

  1. Serve as a primary point of contact for patients, addressing inquiries, providing appointment reminders, and facilitating communication between patients and healthcare providers.

Compliance and Quality Assurance:

  1. Assist in monitoring and ensuring compliance with infection control and safety protocols.
  2. Contribute to quality assurance efforts to maintain high standards of care.

Billing and Invoicing Support:

  1. Collaborate with billing and finance teams to ensure accurate and timely invoicing of infusion therapy services.
  2. Assist in resolving billing-related inquiries from patients and insurance providers.

Administrative Support:

  1. Provide general administrative support to the infusion team, including data entry, filing, and other clerical tasks.
  2. Assist in organizing and maintaining infusion therapy department documents and resources.
