We are looking for an experienced Executive Assistant to join our team in Boca Raton, Florida. This Contract-to-Permanent position offers a dynamic work environment where you will play a crucial role in supporting executive-level functions and ensuring the smooth operation of administrative tasks. The role is onsite, requiring a proactive and meticulous individual who excels in multitasking and organization.
Responsibilities:
• Manage and maintain executive calendars, ensuring efficient scheduling of meetings and appointments.
• Coordinate and arrange travel logistics, including booking flights, accommodations, and transportation.
• Prepare and process expense reports using Emburse software to ensure accurate and timely submissions.
• Facilitate executive meetings by organizing agendas, materials, and follow-up tasks.
• Handle general administrative duties, such as drafting correspondence, filing documents, and maintaining records.
• Ensure all administrative processes are streamlined and efficient to support executive functions.
• Maintain a well-organized and welcoming office environment for staff and visitors.
• Proven experience as an Executive Assistant or in a similar administrative role.
• Proficiency in calendar management and scheduling tools.
• Strong ability to coordinate travel arrangements, including international and domestic travel.
• Familiarity with expense reporting software, such as Emburse, is preferred.
• Excellent organizational skills and attention to detail.
• Outstanding communication skills, both written and verbal.
• Ability to work independently and manage multiple priorities in a fast-paced environment.
• Proficiency in Microsoft Office Suite and other relevant software tools.
