We are looking to fill an Operations Assistant role. This role will need a candidate who is fluent in English and Spanish verbal and written. This will be a multi department role, assisting in Owner Relations, Maintenance, Guest Services. This is NOT a work from home or remote position, you must be able to be In-Office 5 days a week for 8 hour shifts, this is a full-time 40 hours per week position.

Responsibilities for this role include, but are not limited to:

  • Identify areas of Opportunities for owners, including:
    • Home upgrade opportunities
    • Communication initiatives
    • Possible Quarterly home analysis
  • Communicate and Assist owners with:
    • Questions and concerns regarding management, rental, etc.
    • Work as main point of contact for owners as it related to maintenance and housekeeping/inspection tasks
    • Coordinating with department heads to answer questions and respond accordingly
    • Answer calls from the Owner phone queue
    • Meet with Owners as needed
    • Coordinate with Accounting and other teams to onboard home
    • Attend meetings with clients as needed
  • Submit work orders and ensure maintenance is completed for owners and guests
  • Contact owners when work or significant repairs are needed, or made
    • Schedule vendors as necessary for quotes and follow-up through completion of work
  • Owner Bookings
  • Pre-Arrival Contact (arrival details, offer for owner to meet if they wish)
  • Post-Arrival Contact (if owner does not want to meet, check-in on their stay)
  • Assist in the communications for PGO’s and NPGs
  • Walk Homes prior to Owner Arrival with Inspector
  • Note any necessary repair or quality control issues
  • Communicate with Quality Control to ensure homes are properly maintained and communicate with owners accordingly
  • Correspond with HOA’s for owner gate access
  • Onboard new owners (following the onboarding process in Microsoft Planner)
  • Set-Up photo shoot of home (if necessary)
  • Assist Guest Services as needed:
    • Responding to emails and phone calls
    • Adding guests to necessary systems
    • booking reservations
  • Some After Hours phone coverage

Requirements

  • Demonstrated achievement in B2B sales
  • Spanish speaking and writing required
  • Excellent verbal and written communication skills, including facilitation of group presentations
  • Proficiency in Microsoft Office applications, including Outlook, Word, Excel, Planner, Teams, and PowerPoint
  • Basic understanding of the industry, with the ability to become a subject matter expert on the job
  • Guest/Customer Service Experience
  • Innovation and problem-solving skills that include the ability to develop and propose solutions for clients
