Job Title: Membership Specialist

Department: Programming

Reports to: Database Manager

Exempt/Non-Exempt: Non-Exempt

Primary Function:

Under the direct supervision of the Database Manager (DBM), the Membership Specialist (MS) will be responsible for providing the highest quality of support to the Club’s Membership Coordinators and other programming staff. This position supports all sites with attendance reporting to ensure it is completed accurately and timely. Position analyzes attendance and registration data in EZ Reports and BGCPBC internal member database to perform bi-weekly attendance completion audits, identify variances in attendance, and identify and communicate gaps and missing information. Responsible for monitoring all aspects of accurate and complete attendance tracking, to include, communicating updates and new procedures, assessing use of technology and equipment at each site, providing daily feedback on scanning procedures and completion, establishing processes and procedures when there is a vacant Membership Coordinator position, and delivering training and technical assistance to lead BGCPBC staff.


Key Roles (Essential Responsibilities):

  • Perform a wide variety of administrative tasks including data entry.
  • Ensure accurate and efficient Club-based data collection and entry by auditing Club staff’s use of Salesforce and other organizational databases, and training club Staff.
  • Offer ongoing support to Membership Coordinators related to membership registration, attendance tracking and reporting, and assist Clubs when a Membership Coordinator is out.
  • Prepare bi-weekly student attendance reports to be given to the Membership Coordinators and 21st CCLC Project Directors for submission to FDOE.
  • Prepare weekly attendance reports to verify if collected data is correct. Provides guidance to Membership Coordinators to fix discrepancies.
  • Performs Club Membership Audits. Club Audits include but not limited to the following:
  1. Club Membership Files
  2. Club Programming Schedules/Room
  3. MyClubHub and EZ Reports Scanning
  4. Sign In/Out Sheets
  • Travel as assigned to all BGCPBC sites.
  • Participate in the interviewing and onboarding of new Membership Coordinators.
  • Participate, and at times lead, in staff meetings and training.

Skills & Knowledge Required:

  • Associate degree from an accredited college or university preferred.
  • Strong interpersonal, organizational, and communication skills.
  • Highly motivated team player with ability to develop and maintain collaborative relationships with all levels within and external to the organization.
  • Proficiency in Microsoft Word, Excel, and Outlook as well as experience using web- based data collection systems and other databases.
  • Knowledge of the Salesforce platform preferred
  • Problem-solving skills: When problems arise, MS must troubleshoot and resolve the problems.
  • Complete tasks timely and in a thorough manner.
  • Valid Florida driver’s license.
